BuildOps provides a centralized hub for tracking, organizing, and maintaining comprehensive records of a property's assets. This includes installation details, service history, warranties, and forms — all designed to streamline service operations.
You can access assets from either the Assets page or the Property page, depending on how you want to view or manage them.
Accessing Assets from the Directory and Property Page
From here, you can:
View all assets
Add new assets.
Export asset data.
To access assets from the Directory:
Go to the Directory section. (This is where we can view all assets across properties.)
Select the Assets tab.
From here, you can view, add, or export asset details.
Note: When exporting, make sure the rows per page are set to 1,000, as you can only export up to 1,000 records at a time.
To access assets from the Property Page:
Log into BuildOps and navigate to a customer’s Property.
Click the Assets tab. This section serves as the main hub for managing customer assets and their service histories.
The table displays all assets, including those added via the Mobile App.
Sort assets by adjusting columns, density, and filters. Rearrange or hide columns and apply filters to customize your view.
To export an asset list as a CSV file, click EXPORT.
To export a partial list, adjust table filters before exporting.
How To Create a New Asset
In the Assets tab on the Property page, click Add Asset.
Fill in asset details. The only required fields are Asset Name and Asset Type, but providing more information is recommended.
Add Image – Upload a photo of the asset.
Asset Name – Use a clear, descriptive name (e.g., "RTU-2").
Asset Type – Select from your customized list (set up under Custom Fields settings).
Make, Model, Serial – Enter relevant asset details.
Owner ID/Internal Asset ID – Specify an identifier if applicable.
Installation Date – If unknown, estimate or leave blank.
Asset Location – Specify where the asset is installed (e.g., "Roof SW Corner").
Property Zone Served – Indicate which part of the property the asset serves.
Click Save to add the asset to the Property.
Managing an Asset
Viewing and Editing Assets
In the Assets tab, click on an asset name.
The Asset Page will open, allowing you to access and update information.
To modify details, click EDIT ASSET (upper right corner).
Update any gray fields and click SAVE.
Service History
Displays a complete record of service history.
Includes Job/Maintenance number, Visit number, Department, Primary Technician, Job Type, Summary, Attachments, and Service Date.
Click the arrow on the right of the service date to expand service details.
Attachments
Upload relevant documents, such as user manuals.
Attachments are accessible from the Mobile App during Visits.
Edit or remove attachments using the three dots on the right side.
Parts & Materials
Track parts and materials associated with the asset for maintenance or replacements.
Click ADD PARTS & MATERIALS, type the item name, and select from the dropdown list.
Edit or remove parts by clicking the three dots next to the item.
Forms
Attach required forms for specific assets.
Forms must be created under Forms settings with the "Task" Form Type to appear in the asset dropdown.
Click X to remove a form.
Note: This section is from an older version of BuildOps and does not currently interact with other features.
Warranties
Store and track asset warranty details for easy reference.
Notes
Use this section to record additional details, such as unique configurations or special handling instructions.
Notes are for internal use only.
How to Move an Asset from One Property to Another
If you need to transfer an asset from one property to another, you can do this directly by editing the asset’s details. However, please note that assets linked to a service agreement must first be removed from that agreement before they can be moved.
Steps to Move an Asset
Go to the Asset
Navigate to the Directory and open the Assets tab.
Locate the asset you want to move.
Edit the Asset
Click on the asset to open its details page.
Select Edit (usually found in the top-right corner).
Select the New Property
In the Property field, choose the new property where you want to transfer the asset.
Click Save to apply your changes.
Important Note
You cannot move an asset that’s tied to a service agreement.
To transfer it:
Go to the Service Agreement linked to the asset. When you attempt to transfer the asset, the system will display which agreement it’s currently associated with.
In Step 2, uncheck the asset from the list.
Once the asset is no longer associated with the agreement, you can edit it and assign it to the new property.

Can assets be created from the Mobile App?
Yes, technicians with the correct permissions can add assets in the technician report section while on a Visit.Can I Delete an Asset?
No, assets cannot be permanently deleted from BuildOps. However, you can deactivate an asset instead. To do this, go to either the Property page or the Asset page, click on the three dots (⋮) next to the asset, and select Deactivate.
