Inventory Transfers

This article explains how Inventory Transfers work and how to create a transfer from the Transfers page.

Inventory Transfers let you move inventory from one location or stock assignment to another within BuildOps.

You can use transfers to:

  • Move available stock from one warehouse or truck to another.

  • Reserve available stock for a specific job or project.

  • Return reserved stock from a job or project back to available stock.

  • Move reserved stock from one job or project to another when needed.

Before you begin

Keep these points in mind before using Inventory Transfers:

  • Inventory must be enabled for your account.

  • The Transfers page must be available in your account setup.

  • You can still create transfers from within a warehouse using the existing warehouse item actions.

What a transfer changes

A transfer does not represent inventory being used up. Instead, it reassigns inventory from one location or stock assignment to another.

For example:

  • Moving free stock to another warehouse keeps the item in inventory, but changes where it is stored.

  • Moving stock to a job or project reserves that quantity for that work.

  • Returning stock from a job or project makes that quantity available again as free stock.

Where to find Transfers

To open the Transfers list:

  1. Go to Operations.

  2. Select Transfers.

The Transfers list gives you a place to review transfer records and create a new transfer without first opening a warehouse item.

How to create a transfer

  1. Open the Transfers page.

  2. Click Create Transfer.

You will then complete the transfer by selecting the item, source, destination, and quantity.

Step 1: Select the item

Choose the inventory item you want to transfer.

Step 2: Choose the transfer source

In Transfer From, choose where the inventory is currently coming from.

This can be:

  • Available stock in a warehouse or truck.

  • Reserved stock on a job.

  • Reserved stock on a project.

BuildOps only shows valid source options for the selected item. For example, it shows warehouses with available quantity, or jobs and projects that already have reserved quantity for that item.

Step 3: Choose the transfer destination

In Transfer To, choose where the inventory should move next.

Depending on the transfer, you can move inventory:

  • To another warehouse as free stock.

  • To a job as reserved stock.

  • To a project as reserved stock.

  • Back to free stock from a job or project.

  • From one reserved project assignment to a reserved job assignment when needed.

Based on the destination you choose, BuildOps will show the fields needed to complete the transfer, such as warehouse, job, project, or project phase selectors.

Step 4: Enter the quantity

Enter the quantity you want to transfer.

The quantity must be greater than zero and cannot exceed the amount available from the source you selected.

Step 5: Submit the transfer

  • Click Transfer Items to complete the transfer.

    • If everything is valid, BuildOps processes the transfer and creates a transfer record.

    • If something needs to be corrected, BuildOps shows an error message so you can update the details before trying again.

  • If you click Cancel or close the window, the transfer is not processed.

Creating a transfer from a warehouse

You can also start a transfer from the warehouse item actions menu.

When you create a transfer this way, it still creates a record in the Transfers list.

This option is useful when you are already looking at the item inside a warehouse and want to transfer it directly from there.

Notes:

  • Transfer records are saved as completed records in the Transfers list.

  • Transfers do not have an approval workflow or editable draft state in this experience.

  • After a transfer is saved, it cannot be edited or voided.

  • If a mistake is made, create a new transfer that reverses the original one.


Frequently Asked Questions

Can I delete or edit a transfer after saving it?

No. Once a transfer is saved, it cannot be edited or voided. If you need to correct it, create a new transfer that reverses the original one.

Can I still transfer items from inside a warehouse?

Yes. The warehouse item actions menu is still available for creating transfers, and those transfers also appear in the Transfers list.

Why do I not see every warehouse, job, or project in the source section?

BuildOps filters the available source options based on the selected item and where that item currently has available or reserved quantity.

Can I return reserved stock back to free stock?

Yes. You can move reserved stock from a job or project back to free stock.

Can I use Transfers to move stock between reserved assignments?

Yes. Internal transfer flows support moving inventory not only between warehouses, but also between reserved job and project assignments when applicable.
