View invoice email history on Dashboard

If you need to confirm who an invoice was sent to, when it was sent, or whether it was delivered successfully, you can review that information from the Dashboard.

BuildOps also shows email status on the invoice Activity log, but that view is best for quick status checks. The Dashboard gives you a more detailed email record, including the recipient email address and send history.

Before you begin

Keep these points in mind:

  • The invoice Activity log can help you track email status from the invoice record.

  • For a more detailed email trail, use the Dashboard’s Email dataset.

  • This is especially helpful when an invoice may have been sent to multiple contacts and you need to confirm the exact recipient address.

How to view invoice email history

  1. Open the Dashboard in BuildOps.

  2. In the upper-right corner, open the dropdown menu.

  3. Select Available Datasets.

  4. Open the Email tab.

  5. Filter the table by Invoice Number.

  6. Review the matching email records.

From there, you can identify details such as:

  • the email address the invoice was sent to

  • when the email was sent

  • the delivery status for that message

This dataset can also show email log for Quotes, Purchase Order, and Projects

What you can see on the invoice page

If you are already on the invoice and just need a quick check, you can review the Activity log on the invoice page to track email status.

If you need to confirm the exact recipient email address or review a fuller send history, use the Dashboard Email dataset instead.

When to use this workflow

Use the Email dataset when you need to:

  • confirm which contact received an invoice

  • verify whether an invoice email was sent successfully

  • review send timing for billing follow-up

  • troubleshoot cases where a customer says they did not receive an invoice

Can I see invoice email history directly on the invoice page?

You can review email status from the invoice Activity log, but the more detailed email history is found in the Dashboard Email dataset.

What if the customer has more than one billing contact?

Use the Email dataset and filter by invoice number. This lets you identify the exact email address that received the invoice.
