In general, Jobs are better for shorter work, while Projects are better for longer or more complex work that needs project management tools like budgets, phases, forecasting, and project documentation.
What you should know first
BuildOps does not currently have a built-in way to directly transfer costs from one job or project to another.
BuildOps also does not currently have a direct way to convert an existing job into a project.
If work was created under the wrong record, the usual approach is to create the correct job or project and then manually recreate or reassign the affected records where possible.
Can I convert a job into a project?
Not directly. If the work should be tracked as a project instead of a job, create a new project and then rebuild the needed records there. This is the best option when the work needs project-level tools such as:
budgets
phases or cost codes
forecasting
change orders
RFIs
submittals
project files and daily reports
How to move labor to the correct job or project
If time was entered on the wrong record, use this workaround:
Create the visit under the correct job or project.
This will recreate the time entry under the correct job/project.
Dismiss the original time entry from the incorrect job or project.
Approve the recreated time entry on the correct job or project.
How to move purchased items or materials
If purchased items were assigned to the wrong job or project, update the job or project on the related purchase order items and move them to the correct record.
If the receipt is already marked as Closed & Synced, reopen the receipt before making changes.
Important limitation
Even if you update the job or project on a purchase order item, the cost may still continue to appear under the original job in Job Costing if the purchase order was originally associated to that job.
Because of this, purchased item corrections may require additional review depending on how the original record was created.
What happens to invoices?
Invoices tied to the original job or project remain part of that record’s history.
If billing needs to be reflected under the correct record instead, you may need to void the original invoice and recreate it under the correct job or project.
Recommended best practice
Before recreating records, decide whether the work should stay as a Job or be managed as a Project.
Use a Job when the work is smaller, faster-moving, and does not need project management controls.
Use a Project when the work is larger or needs structured tracking for budget, phases, forecasting, document control, or long-term execution.
If you are unsure which workflow is the better fit, review that first before moving time, materials, or invoices.
Frequently Asked Questions
Q: Can I move costs directly from one job or project to another?
No. There is not currently a built-in direct cost transfer workflow.
Q: Can I turn an existing job into a project?
No. There is not currently a direct conversion option. You would need to create a new project and manually move or recreate the needed records.
Q: Can I move labor to the correct record?
Yes, by recreating the labor under the correct job or project and dismissing the original time entry, as long as payroll has not already been processed.
Q: Can I move purchased item costs?
It depends. You can update the job or project on purchase order items, but there is a known limitation where those costs may still appear under the original job in Job Costing.
Q: Do invoices move automatically if I correct the job or project?
No. Existing invoices stay tied to the original record. If needed, they must be voided and recreated under the correct one.
