Sage Intacct: More Accurate Item Descriptions on AP Bills
BuildOps now does a better job filling in item descriptions on AP Bills synced from Sage Intacct. When an Intacct bill doesn't include a line-level description, BuildOps will check the linked Purchase Order or Receipt for a more specific description before falling back to a generic catalog description.
Why This Matters
Previously, if a bill line came over from Intacct without a description, BuildOps would skip straight to the generic item description from your Item List — things like "Misc Materials" — even when a much more specific description existed on the linked PO or Receipt line. For invoices with hundreds of line items, that meant manually cross-referencing every line against the original PO to fix the wording, which was slow and left room for billing errors and reduced clarity for your own customers.
How It Works
When BuildOps generates an invoice from a synced AP Bill, it now looks for a description in this order, stopping as soon as it finds one:
The description from Intacct, if the bill line includes one
The description from the linked Receipt or PO line (new) — BuildOps checks the Receipt line first, then the PO line.
The catalog item description, as a last resort
In practice, this means invoices for jobs with a linked PO will now show the actual materials description you entered on that PO or Receipt, instead of a generic placeholder.
Note:
This fix applies automatically every time a Bill is synced from Intacct — including re-syncs — so a bill line that previously came through with a generic description will correct itself the next time it syncs, with no manual fix needed. However, because invoice line descriptions are locked in at the moment an invoice is generated, existing invoices will not update automatically. You'll need to generate a new invoice after the corrected Bill Line has synced in order to see the accurate description.
What You Need To Do
Nothing — this update is automatically enabled for all customers on their next Bill sync from Intacct. There's no setting to turn on and no configuration required.
