What Is Finance Hub?

Finance Hub gives you a single place to see how the work your team does every day — creating invoices, bills, receipts, payments, and inventory activity — turns into financial records. Every one of those actions is recorded, posted to your books, and kept ready to send to your accounting system.

If you’ve ever had to check several different screens just to confirm a month is ready to close, this is where that stops. Finance Hub shows you what’s posted cleanly, what needs a second look, how each period is progressing, and the reports you’ll use to close the month — all in one place.

📝 One term you’ll see throughout: event. An event is simply a financial transaction BuildOps recorded — an invoice, a bill, a receipt, or a payment. Wherever you see “event,” read it as “transaction.”

Ops Inbox

The Ops Inbox is where you review and resolve transactions that could not post or sync successfully, such as missing account mappings or posting dates. After the issue is fixed, you can retry the transaction so it can continue to the accounting system.

Cost Inbox

The Cost Inbox is where you review external costs—such as payroll, credit card spending, non-PO bills, and CSV uploads—before they are posted. You can assign costs to the appropriate jobs, projects, and cost codes, then approve or reject them.

Periods

Track and close each accounting period.

Reports

AR Aging, GRNI Aging, Sub Ledger Trial Balance, and Close Readiness.

Audit Log

A full history of every change made to any record.

New to BuildOps? During your first close, the system is still being brought fully in line with your accounting system. Until opening balances are loaded and syncing is switched on, some totals and status signals will look incomplete — that’s expected. This guide calls it out wherever it applies.

How You’ll Use This During Close

At a high level, closing a month in Finance Hub follows five steps:

  1. Check the Dashboard for anything that needs attention.

  2. Work the Ops Inbox to clear items that couldn’t post cleanly.

  3. Review the Reports (AR Aging, GRNI Aging, Sub Ledger Trial Balance) and tie them to your accounting system.

  4. Use the Close Readiness Dashboard as your final go/no-go check.

  5. Soft-close each area in Periods.


Dashboard

What this page answers: Where do things stand right now?

Open the Dashboard first every day. In a few seconds, you’ll know whether anything needs you, and exactly where to click next.

What You’re Looking At

  • Current Period Status — the period you’re in, and how each area (AR Invoices, AR Payments, Purchasing, Inventory) is doing. View Periods opens the Periods page.

  • Exceptions Blocking Close — how many items need a look before you can close. A number here is normal — think to-do count, not red flag. Review Exceptions takes you to the Ops Inbox.

  • ERP Sync Status — how many records have failed to sync to your accounting system. Clicking "View Errors" takes you to the Ops Inbox.

    • Until sync is switched on for your account, treat this as informational.

  • Open GRNI — the value of goods you’ve received but haven’t been billed for yet. View GRNI Report opens the GRNI Aging report.

💡 What to do here: If Exceptions Blocking Close is above zero, click Review Exceptions — that takes you straight to the Ops Inbox, covered next.


Ops Inbox

What this page answers: What needs my attention before I can close?

The Ops Inbox is the screen you’ll use most. Any transaction that couldn’t post cleanly lands here, with a plain-language explanation and a clear next step — so you can usually resolve it yourself, without contacting support.

Reading the Page

Three cards sit at the top:

  • Pending Review — items waiting for someone to act on them.

  • ERP Sync Failed — items that failed to reach your accounting system (stays at zero until sync is switched on).

  • Successfully Posted in Period — everything that’s already posted cleanly this period.

Clicking a card filters the list below to those items. The list shows each transaction’s ID, type, status, amount, age, and an Error Type that tells you at a glance why it needs attention.

Working Through the List

  1. Sort or filter by Error Type, so items that share the same fix are together.

  2. Handle one Error Type at a time — items of the same type usually share the same fix.

  3. Within a type, work the largest amounts first so the biggest dollars clear soonest.

Opening and Resolving an Item

Click any row to open its detail panel. You’ll see the transaction’s type, the customer or vendor, the amount, and — most importantly — the reason it needs attention, right in a yellow box.

  1. Read the reason in the yellow box — it names exactly what’s missing or wrong.

  2. Fix the cause. Some errors offer a button right in the panel that fixes it for you. For others, like a Missing GL Account, click the Record link to open the item directly, or go to Company menu → Item List, open the item, and add its GL account.

  3. Return to the Ops Inbox and click Retry. Once the cause is fixed, the item posts and drops off your list.

💡 Retrying before you’ve fixed the cause just brings the item right back — fix first, then retry.

📝 A small number of items show a general message asking you to contact support. Reach out to BuildOps Support and you don’t need to keep retrying them.

Filtering and Exporting

Use Filters and Columns to narrow the list. Export downloads it to a spreadsheet — apply your filters first, since Export includes every row in the current view.


Periods

What this page answers: Is this period ready to close?

Periods shows each accounting period across the year and lets you close it when it’s ready.

  1. Pick the year, then the month.

  2. Each area — AR Invoices, AR Payments, Purchasing, Inventory — shows its status and exception count for that period.

  3. Click an exception count to jump straight to those items in the Ops Inbox.

  4. Resolve those exceptions, then come back.

  5. Click Soft-Close on an area, or Soft-Close All for the whole month.

💡 You can soft-close an area even with a few exceptions still open, and a soft close is always reversible. Periods close in order, so the prior period must be closed before the next one. Once soft-closed, new transactions can’t post into that period — to make a change afterward, reopen the period, or change a single item’s posting date from the Ops Inbox to move it into an open period.


Reports

What this page answers: Can I trust these numbers to close the month?

The Reports area holds the reports you’ll rely on to validate numbers and close the month. Each report has filters at the top, including an as-of date that defaults to today, summary figures, and detail you can drill into. Export is available on every report.

💡 When you run a report for a close, set the as-of date to the last day of the period you’re closing — not today — so the balances match that period.

AR Aging Report

Shows your outstanding accounts receivable: total open AR, open invoice count, and a breakdown by customer and aging bucket. Filter by customer or department, and drill into any bucket to see the invoices behind it.

📝 If you’re newly set up: until opening balances are loaded, Total Open AR can appear negative or incomplete. That’s expected, not an error. If you see a negative total after setup, drill in by customer — it usually points to an unapplied payment or credit memo.

GRNI Aging Report

GRNI means goods received, not invoiced — the value of items you’ve received but haven’t been billed for yet. This report ages those by vendor and is the detail behind the Open GRNI figure on the Dashboard.

Sub Ledger Trial Balance Report

A balances-by-account view: opening balance, the period’s activity, and closing balance for each GL account, with drill-down to the transactions behind each number. Use this to confirm the books balance and tie out to your accounting system.

💡 The report is in balance when Total Debits equals Total Credits. During setup, before opening balances are loaded, individual account balances won’t yet match — the Close Readiness Dashboard tracks that for you.

Close Readiness Dashboard

Your final go/no-go check. It shows an overall Close Status and the signals behind it: unresolved exceptions, open GRNI against a threshold, whether the trial balance is in balance, and the share of records synced.

📝 Early on, expect some red. That reflects work still in progress — exceptions to clear, balances to load, sync not yet switched on. As each item is completed, the signals turn green and “Not Ready to Close” becomes “Ready to Close.” Your BuildOps team will confirm which signals matter most for your first close.


Audit Log

The Audit Log is a complete, time-stamped history of changes to your records. It shows what changed, which record was affected, who made the change, and the value before the change.

Open the Audit Log

You can open the Audit Log from any of these locations in Finance Hub:

  1. Top navigation: Click Audit Log in the Finance Hub menu.

  2. Periods: On the Periods page, click the three-dot menu in the upper-right corner, then select View Audit Log.

  3. Ops Inbox: Open an item to display its side panel. Click the three-dot menu next to the item status, then select Open Audit Log.

Some entries are made automatically by the system (shown as a system action rather than a person’s name) — for example, when a record syncs. Like the other screens, you can filter and export the log.


Frequently Asked Questions

Q: What’s an “event”?
​A: A financial transaction — an invoice, bill, receipt, or payment. Anywhere you see “event,” read it as “transaction.”

Q: What does GRNI mean?
​A: Goods received, not invoiced — the value of things you’ve received but haven’t been billed for yet.

Q: What’s the difference between Review and Retry?
​A: Review opens an item so you can read it before deciding anything. Retry is what you click after you’ve fixed the underlying issue.

Q: What happens when I soft-close a period?
​A: New transactions can no longer post into it. You can reopen the period, or move a single item into an open period by changing its posting date.

Q: Why do some numbers look off right after setup?
​A: Until opening balances are fully loaded, some totals (like Total Open AR) can look incomplete or even negative. That’s expected, and resolves once setup is complete.

Q: What does “USD/2” mean on a report?
​A: It’s a currency label — US dollars carried to 2 decimal places. It’s not an amount.
