Cannot create another invoice for a quoted job
If BuildOps will not let you create another invoice for a quoted job, this is typically caused by changes made to an earlier invoice for the same job.
This article applies when:
You cannot create an invoice from the Job Report.
You cannot invoice the remaining amount on the quoted job.
The job is still marked Partially Invoiced.
BuildOps shows an incorrect amount available to invoice.
How quoted-job invoicing works
Quoted jobs use the items and prices in the quote’s Quote pricing tab.
Items added directly to the job are recorded as cost items. They are not included as billable items on the quoted-job invoice.
BuildOps can create invoices only while the total invoiced amount is less than the total quoted amount.
Why you may be blocked from creating another invoice
Adding, editing, or removing an item on a quoted-job invoice can change how BuildOps calculates the amount already invoiced and the amount still available.
This can affect partial invoices even when the invoice total looks correct. After an invoice is changed, BuildOps may prevent you from creating the next invoice for the remaining quote amount.
Check whether this is the issue
Check whether anyone changed an invoice for this quoted job by doing any of the following:
Adding an item
Editing an item
Removing an item
If yes, do not continue editing that invoice to try to correct the remaining amount — this will not fix the issue.
Supported workaround
Void the modified invoice.
Go to Accounting > Invoices.
Select + New Invoice.
Search for the job, customer, or property.
Complete the invoice details and select Save Invoice.
Creating an ad hoc invoice from the Invoices page is the supported workaround when changes to a quoted-job invoice prevent future invoicing.
If no invoice items were changed
Confirm that:
The job is a Quoted job.
The amount already invoiced is less than the total quoted amount.
The billable items are in the quote’s Quote pricing tab, not only on the job.
If the error says that an invoice item requires a product ID, follow How to Resolve Common Invoice Configuration Errors in BuildOps.
How to prevent this issue
To avoid this problem on future quoted jobs, follow these best practices:
Finalize the quote pricing before creating invoices.
Create quoted-job invoices from the Job Report.
Do not add, edit, or remove line items on a quoted-job invoice, especially a partial invoice.
Add billable items to the quote’s Quote pricing tab instead of adding them directly to the job.
