Company Settings

The following information is broken down into the sections found on the Company Settings page. When you log into BuildOps, you will land in Company Settings.

Company Info Fields

  • Company Name

  • Company Logo (appears on customer-facing documents)

  • Business Address (actual business location)

  • Billing Address (where paper mail is received)

  • Phone (primary customer service contact)

  • Email

  • Website

  • Invoice Terms of Service (default language at the bottom of every invoice)

  • Purchase Order Terms and Conditions (default language at the bottom of every purchase order)

  • Company Logo: The logo uploaded here will appear on all customer-facing documents, including invoices, quotes, project RFI, Submittals, and purchase orders. Ensure the logo is high-resolution for the best appearance.

To edit Company Info, click "EDIT COMPANY INFO" in the upper right.

Additional Tips

  • Recommended Dimensions: While BuildOps does not enforce specific dimensions, using a high-resolution image ensures the best appearance across all documents.

  • File Format: Upload a commonly supported file format, such as PNG or JPEG.

  • Testing Changes: After updating the logo, preview invoices, quotes, or emails to confirm the new logo displays correctly.

Permissions and Access Requirements

To update the company logo, you need appropriate permissions. If you do not see the Edit Company Info button in Company Settings, contact an administrator to adjust your access level. Typically, you need Company Settings: Full Access or an Admin-level role.

Specific Use Cases

Updating the Logo on Invoices

The logo you upload in the Company Logo section will automatically appear on all generated invoices. Follow the general instructions above to ensure your invoices reflect the updated logo.

Changing the Logo for Email Headers

If you want to update the logo that appears in the email header when sending quotes:

  1. Update the logo in Company Settings as described in the general instructions.

  2. If your quotes are associated with specific departments, update the logo in the Department Settings for the relevant department. The email header will use the department-specific logo if set; otherwise, it will default to the company logo. After making changes, send a test email to confirm the new logo appears correctly.

How to Update or Change the Company Logo in BuildOps

Updating or changing your company logo in BuildOps is a straightforward process. Follow these steps:

  1. Log in to BuildOps.

  2. Navigate to Company Settings.

  3. Click Edit Company Info.

  4. In the Company Logo section, click Upload.

  5. Select the new logo file from your computer.

  6. Click Save to apply the changes. For detailed instructions on updating the company logo, refer to the steps below.


Departments

  • View, edit, or delete a Department by clicking the three dots on the right side.

  • Add a Department logo, designate team members, choose a default Quote template, and add a company/billing address (if applicable).

  • To add a new department, click "ADD DEPARTMENT".


After Hours Settings

  • Allows "on-call" Technicians to perform work or schedule jobs outside of regular business hours.

  • Set up different "after hours" schedules and assign them to specific Technicians.

  • To edit a schedule, click "EDIT" on the right side.

  • To add a new schedule, click "ADD SCHEDULE".


External Message Templates

  • Default email language for Quotes, Invoices, and Purchase Orders.

  • Saves time by eliminating repetitive email drafting.

  • To edit or delete, click the three dots on the right side. Additionally, templates must be assigned to relevant departments in the External Templates section to ensure their visibility during invoice creation or email sending.

  • To add a template, click "ADD EXTERNAL MESSAGE TEMPLATE".

  • Type in the name of the template and select the department it’s for. Choose whether it will be used for a Quote or an Invoice. Add your message in the text box, then click Save to complete.

Ensure the associated Department(s) are selected; otherwise, the template will not appear as an option in the dropdown.

Troubleshooting Missing Invoice Templates

If your expected invoice template doesn’t appear when creating or sending an invoice, use the steps below to identify and resolve the most common causes.

  • Verify that a department is assigned when creating an invoice. Invoice templates in BuildOps are tied to departments, and leaving this field blank can cause them to not appear.

  • The external template may not apply if an ad-hoc invoice is created without selecting a department. In such cases, the messaging would need to be added directly to the invoice.

  • Check the External Templates section in Company Settings:

    • Ensure that the department assigned to your invoice has a properly configured external message template.

    • If missing, add the department to the template configuration.


Navigation, Pages, & Objects

Depending on a user's Roles and Access rights, they may or may not

see the different tabs found in the top navigation bar.

Settings Tabs

  • Hover over your company name in the upper left to access various settings tabs.

  • More details will be provided in future training.


Dashboard V2 (Reports)

Dashboard is our robust reporting module powered by a software called Sigma Computing. Sigma can help business owners make informed decisions and gain

business insights by providing comprehensive data analysis, real-time

reporting, customizable reporting, collaboration, and visualizations.


Operations

  • View day-to-day work in different sections:

    • Jobs

    • Maintenance (Service Agreement Jobs)

    • Sales (Quotes, Recommendations)

    • Inventory

    • Procurement (Purchase Orders, Receipts & Bills)

    • Service Agreements (Referred to as "Maintenances")

      • All Service Agreement Jobs are referred to as "Maintenances" in

        BuildOps.

        Maintenance and Service Agreements go hand in hand. A Maintenance

        is a Job that is specific to a Service Agreement.


Dispatch

  • Dispatch Board is the central scheduling tool.

  • View Visits and their statuses.

  • Access the Visits tab to see a table format of all Visits.


Accounting

  • Create and review:

    • Invoices (Jobs and Maintenances)

    • Payments tied to Invoices

    • Adjustments to Invoices

    • Time Tracking Reports


Directory

  • View all Customers & Properties in tables.

  • Sort, filter, and customize table views.

  • Service Channel Integration (enables external actions within BuildOps).

  • Checklist Library for Service Agreements 2.5 (saves time on manual data entry).

  • Subcontractors (view all subcontractors on a table)

  • Access Assets to see a table format of all Assets.


Projects

  • Two major modules: Service & Projects.

  • Projects are construction jobs longer than 2 weeks.

  • WIP Reports (Work-in-Progress) show overall project health and performance.

  • Forecasting (to see comprehensive overview of all your Projects budgets and forecasts)


Global Search

  • Find all related objects (Jobs, Visits, Invoices, Quotes, etc.).

  • Apply filters to refine results.


Notifications

  • Alerts for actions taken within the Quote module.

  • Get notified when:

    • A customer approves/rejects a Quote.

    • A Quote is converted into a Job.

    • A new Quote is needed.

  • Enable or disable notifications based on preferences.


Shortcuts/Ad hoc

  • Click the + icon to quickly create:

    • New Job

    • Quote

    • Invoice

    • Payment


Help Desk & Learning Center

Click the ? icon on the top right to access our support tools. From here, you can:

  • Browse the Help Center – Find product articles and learn about key features.

  • Check Release Notes – Stay up to date with the latest software updates.

  • View System Status – See if everything is running smoothly.

  • Track Tickets & Conversations – Access your current and past conversations with the BuildOps Support Team.


Roles + Permissions

  • Create Custom Roles – Set up roles tailored to your team's responsibilities.

  • Control Permissions – Define what each role can view or do within BuildOps to ensure the right level of access for every user.

Profile

  • Click the top-right icon to:

    • Update notification preferences (Quotes, Jobs, Procurement)

    • Sign out

    • Change password

    • View current web version. Example: v7.18.2 (92d52d0)
