Table Views and Filters

Overview

BuildOps tables provide quick and easy access to your company's essential information. Each table displays data in a structured format with rows and columns, allowing for efficient sorting, organizing, and comparison.

Custom Table Views can be:

  • Set as the default landing view

  • Saved for future use

  • Edited as needed

  • Shared with other employees (Make it Public)

Saved Views streamline office workflows, such as identifying jobs ready for invoicing or tracking quotes that have not been sent to customers. By using Saved Table Views, businesses can enhance visibility, productivity, and overall organization.


Table Views

Accessing Views

By default, you will land on the Standard View, which displays all data in the table. To switch views:

  1. Click the "VIEWS" dropdown in the upper left corner.

  2. Select a Saved View from the list.

Customizing Columns

  • Rearrange columns by dragging and dropping the column headers.

  • Click "COLUMNS" to hide columns by toggling off the green checkmark, or rearrange columns by dragging items in the Columns menu.

  • Sort columns by clicking the arrow next to the column header (ascending/descending order).

Adjusting Density

Modify row height for better readability:

  1. Click "DENSITY".

  2. Select from Compact, Standard, or Comfortable.


Filters

Filters help refine the displayed data by applying specific conditions.

Applying a Single Criteria Filter

  1. Click "FILTERS".

  2. Select a Column.

  3. Choose a Criteria Operator (e.g., "is equal to", "is greater than").

  4. Select a Value.

  5. The table will update accordingly.

Applying Multiple Criteria Filters

  1. Add a filter following the steps above.

  2. Click "+ ADD FILTER".

  3. Choose a Logical Operator:

    • AND: Both conditions must be met.

    • OR: At least one condition must be met.

  4. Select a Column, Operator, and Value for the second filter.

  5. Add more filters as needed.

To remove a filter, click the X next to it.


Saving & Managing Custom Table Views

How to Save a Custom Table View

  1. Apply filters and arrange columns as needed.

  2. Click "VIEWS" → "SAVE AS NEW VIEW".

  3. Enter a descriptive name.

  4. Click "SAVE & EXIT".

Editing a Saved Table View

  1. Click "VIEWS" and select the Saved View.

  2. Modify filters or columns.

  3. Click "UPDATE SELECTED VIEW" to save changes.

Additional View Actions

Click the three dots next to a Saved View name to:

  • Rename: Change the view name.

  • Duplicate: Create a copy of the view.

  • Remove: Delete the view.

  • Make Default: Set as the default view.

  • Make Public: Share the view with all users.


Exporting Table Data

Tables can be exported for external analysis or record-keeping.

How to Export Data

  1. Click "VIEWS" and select a Saved or Standard View.

  2. Click "EXPORT" (upper right corner).

  3. The table will download as a CSV file, compatible with Microsoft Excel and Google Sheets.

Only visible rows will be exported. If 2,000 rows exist but only 1,000 are displayed, only the visible 1,000 will be exported. In cases like this, you will need to go to the next page/rows to export the remaining data.


Limitations

Not all features are available in every table. The following limitations apply depending on the module you are working in.

Export

  • Export is not available in the Job Costing tab (accessed from within a Job). The Job Costing table is for viewing financial data only.

Saved Views in Project Finance Tables
Table customization — including Views and Columns — is available across Project Finance tables (Cost, Revenue, Labor Report, Install Units, Forecasting, and T&M Overview). However, note the following:

  • Views and column settings are saved per user and persist across projects, but are not shareable with other users the way standard table views are.

  • Group By settings (Cost Type / Cost Code grouping toggles) are now retained in saved views.

Change Order Request (COR) Table
Custom Views are available in the COR table within Project Management.


Frequently Asked Questions

Can I edit a Saved Table View?
Yes, select the view from the "VIEWS" dropdown, make changes, and click "UPDATE SELECTED VIEW".

Why didn't my table export all rows?
BuildOps exports only the rows currently displayed. Adjust the table to show all rows before exporting.

Can I create multiple Saved Views for different workflows?
Yes, you can create multiple Saved Views to support different tasks and departments.

Why can't I export from the Job Costing tab?
Export is not available in the Job Costing tab. To analyze job costing data externally, consider using Dashboard Reports or exporting from a related table where export is supported.

Can I share my Project Finance views with my team?
Project Finance views are currently saved per user and cannot be shared with other users. For shared views, use the standard table views available in tables like Jobs, Quotes, and Invoices.
