Managing Credit Hold Settings

Credit Hold settings help businesses manage customer accounts and maintain financial stability.

Accessing Credit Hold Settings

To access Credit Hold Settings, hover over your company name and click Accounting Settings.
On the Accounting Settings page, you will automatically land in the Credit Hold Settings tab.

User Permissions for Credit Hold

Users with the Edit Credit Hold Status & Settings permission (Company Settings → Roles & Access Rights → Data) can:

  • Adjust Credit Hold settings, including credit warnings and risk triggers.

  • Place a customer on Credit Hold.

  • Remove a customer from Credit Hold.

Credit Warning and Credit Risk

Credit Warning

This setting helps identify customers nearing their credit limit. You can set a threshold based on:

  • A percentage of the customer’s credit limit.

  • A specified minimum credit amount.

These thresholds apply to all customers.

Credit Risk

A customer enters Credit Risk status when:

  • Their outstanding balance exceeds the assigned credit limit.

  • Their overdue balance exceeds the minimum overdue amount plus the grace period.

The grace period is added to invoice due dates for all customers.

Credit Hold

The Credit Hold feature prevents additional work from being performed for customers who have exceeded their credit limits. When a customer is placed on Credit Hold, the system automatically restricts:

  • Creating new Visits, Jobs, Quotes, Projects, and Maintenances.

  • Editing or rescheduling existing Visits.

  • Unassigning all Scheduled Visits for that customer.

However, administrators can override certain restrictions. If necessary, toggles can be enabled to allow specific actions like creating Jobs, Quotes, or Projects for customers on Credit Hold.

Placing a Customer on Credit Hold

Users with the correct permissions can:

  1. Go to the Customer page.

  2. Click the three dots on the right.

  3. Select Put on Credit Hold.

To remove a customer from Credit Hold, follow the same steps and select Take Off Credit Hold.

Service Agreement & Maintenance for Credit Hold Customers

  • New 'Credit Hold' Maintenance Status: This functions like a 'Skipped' status.

  • If the Create Maintenance toggle is OFF, all auto-generated maintenance tasks during Credit Hold will have a Credit Hold status.

  • These maintenance tasks can be reopened if the Create Maintenance toggle is turned ON in Accounting Settings.

  • Auto-generated maintenance visits for Credit Hold customers will be in Canceled status.

Setting a Credit Limit for a Customer

New Customers

When creating a new customer, enter a dollar value in the Credit Limit field.

Existing Customers

  1. From the Customer page, click Edit (upper right corner).

  2. Enter a dollar value in the Credit Limit field.

  3. Click Save.

Viewing Customer Credit Statuses

You can view customer credit statuses from the Customer table by selecting the Credit Warning, Credit Risk, or Credit Hold filters at the top.
Additionally, credit status is displayed:

  • In the Status column of the Customer table.

  • At the top left of the Customer page, next to the customer name.

  • In the Accounting tab, which shows all invoices and payments.
