What is Technician Self-Scheduling?

Some technicians need the ability to independently manage their schedules. This article explores how technicians can use the BuildOps Mobile App to plan and organize assigned Visits, ensuring optimal control over their individual schedules.

Creating an Unassigned Job with a Preferred Technician

NOTE: Before getting started, ask your Customer Success Manager to enable this setting for you.

  1. With the Self-Scheduling feature on, you will see a new field on the Job creation modal called Preferred Technician.

  2. Fill out the Job’s general information, select your Preferred Technician, then click SAVE (upper left corner).

⚠️ Note: When creating a Visit on BuildOps web, the Primary Technician field will default to the preferred technician. If the preferred technician has permissions to create Visits, they will be able to self-schedule this Job through the Mobile App.

Mobile App

My Visits Tab

In the Mobile App, the My Visits tab has two sections at the top of the screen:

  • Scheduled Visits

  • Open Work

Scheduled Visits

Under Scheduled Visits, you will see options to view Past, Today, and Future Visits.

  • Past displays any overdue and completed Visits.

    • Overdue Visits are those that have not been completed and are past their scheduled date.

    • Tap a completed or overdue Visit to view more details.

  • Today displays scheduled Visits assigned to a technician for that day.

    • A blue notification banner will show the total number of incomplete Visits.

    • Tap on a scheduled Visit to take action.

  • Future displays any future Visits that have been assigned.

NOTE: The Jobs/Visits that display in the Mobile App are only visible to those assigned as Preferred/Primary Technician.

Open Work

The Open Work section has two view options:

  • Visits

  • Jobs

Open Work - Visits

The Open Work - Visits section displays Visits for a technician if they are set as the Preferred/Primary Technician on a Job, but the Visit is either Incomplete or Unscheduled.

  • Incomplete Visits (scheduled or overdue) will appear at the top of the page.

  • Unscheduled Visits (those without an assigned date/time) will appear beneath.

Technicians can take action on an Unscheduled Visit by selecting:

  • Start Visit Now

  • Schedule Visit Later

Start Visit Now

  1. Tap an Unscheduled Visit to open it.

  2. Review Job/Visit details: Job/Visit Number, Property, Visit Status, Address, Issue Description, Notes, and Customer Info.

  3. Tap Start Visit Now (bottom of the screen).

  4. Tap Continue on the pop-up notification to schedule the Visit.

⚠️ Note: Tapping Continue will schedule the Visit with the technician for the current date and time. 5. The technician will be directed to the Mobile Visit screen and can tap Travel to start time tracking.

Schedule Visit Later

  1. Tap Schedule Visit Later.

  2. Input a Date, Start Time, Duration, Department, and an optional Visit Description.

  3. Tap Save.

  4. Once scheduled, the Visit will appear under the Scheduled Visits tab under Today (if scheduled for the current day) or Future (if scheduled for a later date).

Open Work - Jobs

The Jobs tab displays Scheduled and Unscheduled Jobs where the technician is marked as the Preferred/Primary Technician.

  • Scheduled Jobs include a Visit with an assigned Technician, Date, and Time.

  • Unscheduled Jobs may or may not have a created Visit. If a Visit exists, the Date/Time has not yet been assigned.

Scheduling an Unscheduled Job

  1. Tap an Unscheduled Job to open it.

  2. Review the Job details: Job Status, Type, Address, Issue Description, Contact Info, Visits, Notes, and Customer Info.

  3. Tap Schedule A Visit (bottom of the screen).

  4. Add a Date, Start Time, Duration, Department, and an optional Visit Description before tapping SAVE.

  5. Tap Continue on the pop-up notification to schedule the Visit.

  6. Once scheduled, the Visit will appear under the Scheduled Visits tab under Today (if scheduled for the current day) or Future (if scheduled for a later date).

FAQs

1. Can I add multiple preferred technicians to a Job so they can all see unscheduled Visits?

  • No, only one preferred technician can be selected at this time.

2. If you are not the preferred technician, can you still see unscheduled Jobs and assign them to yourself?

  • No, you can only see unscheduled Jobs or Visits if you are the preferred technician on the Job. Only the assigned preferred technician can schedule an unassigned Visit or Job to themselves.

3. Is Self-Scheduling available for Maintenance Jobs within Service Agreements?

  • Not at this moment.
