Manage Items in BuildOps
Use archiving to remove an item from active use while keeping its history. If an item is associated with a warehouse, you can also remove it from that warehouse when its quantity on hand is zero.
These are separate actions:
Archive or unarchive an item: Changes the item's status in the Item List.
Remove an item from a warehouse: Removes the item from one warehouse. The Item List record remains available.
Before you begin
Make sure you have access to the Item List and the permissions required to edit, archive, or unarchive items.
Bulk actions apply to the items selected on the current page. If the list has multiple pages, repeat the action on each page.
Archive items
BuildOps does not support permanently deleting items from the Item List. Archive an item when it is no longer needed for new work but you want to retain its history.
To archive one or more items:
Open the Item List.
Select the items using the checkboxes.
To select all items displayed on the current page, select the checkbox at the top of the list.
Click Archive.
Review the confirmation message, then click Confirm.
Archived items no longer appear in the default Item List view. To find them later, filter the list to show archived items.
Unarchive items
Unarchive an item when you want to make it active again.
Open the Item List.
Filter the list to show Archived items.
Select the items you want to restore.
Click Unarchive.
Confirm the action.
The items return to an active status and appear in the default Item List view.
If an item cannot be unarchived
If BuildOps displays a validation error:
Open the archived item and click Edit.
Complete the required fields identified in the error message. For example, if Cost Type is required, select a Cost Type.
Save the item.
Try to unarchive the item again.
Remove an item from a warehouse
Removing an item from a warehouse is different from deleting an item from the Item List. The Item List record is retained after the item is removed from a warehouse.
An item can be removed from a warehouse only when its Quantity on Hand is zero. This action applies to inventory items.
Remove one item
Open the warehouse's item list.
Open the item's Actions menu.
Select Remove.
Confirm the action.
Remove multiple items
Open the warehouse's item list.
Select the items using the checkboxes.
Click Delete from Warehouse.
Review the confirmation summary and confirm the action.
If an item has quantity on hand, transfer or issue the remaining quantity before trying again.
How these actions affect existing records
Archiving an item does not change existing purchase orders, job reports, invoices, or other records that already reference it.
Removing an item from a warehouse does not permanently delete the Item List record.
If you no longer want an item available for future use, archive it from the Item List after removing it from any applicable warehouses.
Review templates and pricebooks that reference an item you no longer plan to use, and update them as needed.
Recommended approach
Archive items created in error or no longer needed for new work.
Unarchive an item instead of creating a duplicate if you need to use it again.
Remove an item from a warehouse only after its quantity on hand reaches zero.
Use bulk actions to manage multiple items, and repeat the action for each page when necessary.
