Reporting in BuildOps

A guide to accessing, navigating, and managing your dashboards and reports in BuildOps.

Accessing reporting

To use reporting, a user must have Dashboards enabled under Roles & Permissions in Company Settings. The user account must also be fully activated — users with "invited" status cannot access the dashboard until they complete account activation.

Once set up, click Dashboard in the top navigation bar. You'll land on the Company Overview page, which displays a high-level snapshot of company-wide performance metrics.


Data Sync Frequency

Dashboard data is synced to our data warehouse approximately every 30 minutes to 1 hour. Manually refreshing the page will not load new data ahead of schedule — there is no option to force an immediate update. Report load times may also vary based on your internet connection.


Filtering Your Dashboard

Use the Date Range filter or Department Name filter to narrow your view.

Click the By Department Metrics tab to see department-specific reports.

Click the folder icon (lower left corner) to open Quick Actions and access saved files. This file system works similarly to your computer's folder structure — with personal saved folders and shared folders or reports.

Sending & Scheduling Reports

To send a report immediately, click Send Now. To automate delivery, schedule a report to be sent to a designated recipient at a specific date and time.

Exported reports can be delivered in Excel or PDF format and sent to anyone — including people outside your organization.

Tip to avoid failed exports: Schedule exports a few minutes before or after the hour (e.g., 7:59, 8:03) and avoid peak windows like 11:00–13:00 UTC, especially Monday mornings, when export demand is highest


Workspaces

Workspaces are shared folders accessible to all Dashboard users in your organization. You can create subfolders within a workspace to further organize shared reports.


Out-of-the-Box Reports

Click the dropdown list in the upper right corner of the Dashboard to view all standard reports.

By default, if a report is exported, it will resemble what is displayed on this page.

Null represents the absence of a value in a variable or field. It indicates that a variable or database field does not contain any data or has not been assigned a specific value.

For example, if you leave the Sold By data field blank when creating a Quote, this will populate as Null in the Quote dashboard report.


Editing Reports

From this window, you can view and edit the report's structure and sections. The functionality is similar to Excel, which can be manipulated and adjusted.

Use the toolbar at the top of the report to access various tools and functions for working with the data.

Columns can be edited from the side panel, column title, or the column itself.

Use the tabs at the bottom of a report to quickly organize a report by different pre-selected metrics.

Click the arrow next to the tab title to export or copy a report.


Saving Reports

Changes made to standard reports are session-only — they reset when you exit or refresh the page. To keep your customizations:

  • Use Save As to create a personal copy in My Documents (visible only to you).

  • Save to a Company Workspace to make the report visible and editable by your team.


Frequently Asked Questions

Q: Why is my dashboard slow to update?
A: Occasional delays can occur during backend maintenance or manual data refreshes by engineers. These are typically one-time events.

Q: Why can't I access the dashboard?
A: Check that the user account is fully activated (not just "invited") and that Dashboard permissions are enabled in Roles & Permissions.

Q: Why isn't new data showing after I refresh?
A: New records only appear after the next scheduled backend sync — manual page refreshes don't pull in new data early.

Q: Why did my scheduled export fail?
A: Exports can fail if the data warehouse is temporarily unavailable, usually during peak hours. To reduce failures, schedule exports slightly off the hour and avoid the 11:00–13:00 UTC window.
