New Email Settings in Admin

We’ve added a new Emails tab under Roles and Permissions > Admin to make it easier to manage account and custom email options in BuildOps.

  • New Email Settings for Account Emails

    • In the General tab, Admins can now control whether BuildOps automatically sends:

      • Invitation Emails – Send an email with account username and password when a new user is added.

      • Password Reset Emails – Send an email with account username and password when an Admin resets a user’s password.

    • Both options are enabled by default, but you now have the flexibility to adjust them as needed.

  • Custom Sender Emails Moved

    • The Custom Sender Emails section has been moved from Company Settings to the new Emails tab under Admin.

    • Here, you can add custom sender addresses for Invoices, Purchase Orders, and Quotes.

    • Each email address shows its type, reply-to address, assigned department, and verification status for easy tracking.

Technician-Specific Status in Time Tracking

You can now see technician-specific statuses in Time Tracking on web, even when multiple technicians are assigned to the same event.

What’s New: Previously, the event status in Time Tracking didn’t reflect the progress of each individual technician. With this update, the status now updates per technician, giving you a clearer view of who has started, who is still working, and who has completed.

Example Scenarios:

  • One technician started, another not yet:

    • Technician A: Working

    • Technician B: Scheduled

  • One technician completed, another still working:

    • Technician A: Complete

    • Technician B: Working

This improvement gives you greater visibility into technician activity. Instead of waiting for all technicians to complete before seeing updates, you’ll know the real-time status for each individual, making scheduling and tracking more accurate.

Quote Presets: Set Defaults and Public Views

We’ve added two new ways to manage Quote Presets, making quoting faster for individuals and more consistent across your organization.

Set a Default Preset

  • You can now mark any preset as your personal default.

  • When you create a new quote, your default preset is automatically applied, no more re-selecting each time.

  • A house icon appears next to the preset so you’ll always know which one is set as default.

  • If you’d like to switch or remove it, simply use the Unset Default option.

Publish Presets to Your Team

  • The new Make Public option lets you share a preset with your entire organization.

  • Public presets can also be reverted back to private if needed.

"Update Public Saved Views" permission is required to change public saved views to private.

Drag-and-Drop for Quote Items

We’ve made it simpler to organize your quotes with new drag-and-drop functionality.

  • Reorder Items Within a Section

    • You can now drag and drop labor, parts, and materials to adjust their order inside a section.

  • Move Items Across Sections

    • Estimators can drag labor items from one section to another without having to delete and re-add them.

  • Consistent PDF Output

    • The generated PDF will now follow the exact same order you see in the quote, ensuring alignment between the web view and final document.

This update saves time, reduces errors, and gives you full flexibility to structure complex multi-section quotes exactly the way you need, while keeping the final PDF accurate and consistent.

Refined Quote Email Status Updates

We’ve updated how BuildOps tracks engagement with quote emails to give you clearer, more trustworthy insights.

Why the Change: The previous “Open” status was often triggered by background activity like email providers preloading images or privacy features automatically marking emails as opened. This made the status unreliable and sometimes misleading. By removing “Open,” we’re ensuring that the activity you see in BuildOps truly reflects customer engagement.

What’s New:

  • Reliable Email Statuses

    • Sent – Email was sent successfully.

    • Delivered – Email reached the customer’s inbox.

    • Bounced – Email failed to deliver.

    • Quote Read – Customer clicked the View Quote link, confirming they opened the document. (A tooltip will explain that this reflects real interaction.)

  • Simplified Quote Status Updates

    • “Sent to customer” remains until the quote link is clicked.

    • “Customer Viewed” now only appears when there’s a confirmed interaction with the quote.

Time & Material (T&M) Projects Now Available

You can now create Time & Material (T&M) Projects as a new Project Type, alongside Quoted Projects.

With T&M Projects, billing is based on actual labor, materials, subcontractors, and equipment used plus markup, while still taking advantage of all the powerful project features you already know, such as Drawings, RFIs, Submittals, and Planning.

Key Highlights:

  • Flexible Rate Configuration: Apply flat markups for materials, equipment, and subcontractors, and use pricebook-based rates for labor.

  • Enhanced Project Reporting Table: Designed to align with the Job Report Table for a familiar experience.

  • Granular Reporting: Updated Labor, Materials, Equipment, and Subcontractor tables give detailed breakdowns for more transparency and accuracy.

Please reach out to your CSM to enable this feature.
