Project File Folders are file folders that can be automatically generated when a Project is created. The office can select which folders they would like to share with office users & mobile users.
The file folders set up within Project Settings act as templates that will be created for every future Project in BuildOps.
This feature saves time and reduces manual data entry during Project Setup because you will not need to add the same folders each time you create a new Project.
The Global Folder
All BuildOps Projects include a Global Folder.
The Global Folder is NOT project-specific and is ideal for storing general company documents (i.e., certificate of insurance, template submittals, or standard forms).
All users have access to the Global Folder contents.
The Global Folder is independent of any File Folders set up in Project Settings.
How To Create A Project File Folder Template From Project Settings
Hover over your Company Name → Click Project Settings.
Click + ADD PROJECT FILE FOLDER.
Choose a File Folder Title and select (1) or more options from the ACCESS dropdown.
Access Levels
There are three (3) levels of access:
Access Level | Description |
Mobile Access | Controls what users can see in the mobile app. |
Web Access | Used for lower-security files on the web. |
Office Use Only | Used for higher-security files on the web. Mobile users WILL NOT have access to these folders. |
Each user's access is determined by the Permissions enabled on their role.
⚠️ NOTE: Adding File Folders in Project Settings will NOT retroactively add folders to existing Projects. File Folders will only be created for new Projects.
How To Create A Project File Folder From The Project Page
Project File Folders can also be created directly from the Project Page.
Click Files on the Project Page to manage File Folders and Files.
Use the toolbar at the top of the Files tab to:
Create a New Folder
Upload a File
Sort Files (by Name, Size, Modification Date, Ascending, or Descending Order)
Refresh the Files
File Folder View Options
Click the Icon on the right side to switch between:
Icons View (Grid format)
Details View (List format)
You can also right-click on a blank space in the Files section to access:
Create Folder
Upload File
Rename Folder
Delete Folder
Download Folder
Update File Permissions
Uploading Files
Files can be uploaded inside a File Folder or as standalone files in Project Files.
Drag & drop files from your computer OR click Upload to select a file.
To upload a file inside a specific folder, double-click the folder before uploading.
Editing Files Directly (Word, Excel & Fillable PDFs)
Early Access — this feature is available to customers with the setting enabled. Our Support team can help turn this on if you're interested.
You no longer need to download, edit, and re-upload files to make changes. Word, Excel, and fillable PDF files stored in Project Files can now be opened, edited, and saved directly in the browser.
Click on a supported .docx, .xlsx, or fillable PDF file in Project Files. It opens in the built-in file viewer in view-only mode.
Click Edit to switch the viewer into editing mode and make your changes.
Click Save to write your changes back to the same file — no new upload is created and no duplicate versions are added to the folder.
This keeps a single, up-to-date version of each file and removes the extra steps of downloading, editing locally, and re-uploading.
Roles and Access Rights Settings
Roles and permissions must be configured for web users and technicians to access Files in File Folders.
Click the settings at the top right and select Roles and Permissions
Find the Role and Select Project Management
Enable Files Office Use and Files Web Access

Frequently Asked Questions
Q: I created project file folders and set access options, but users cannot see the folders.
Double-check that the user's role permissions allow access to the file folders.
Verify that the user has access to the Project:
Open the Project by clicking on the Project Name/Number.
Click Project Settings → Users tab.
Ensure that the user is added to the Project.
Q: I clicked on a file but don't see an Edit option.
Live editing currently supports .docx, .xlsx, and fillable PDF files only. Other file types will open in view-only mode.
