Overview

The BuildOps Mobile App empowers technicians by providing real-time access to work order information, enabling them to:

  • Complete work orders

  • Record hours worked

  • Track equipment history

  • Compile job notes

The app seamlessly connects field technicians with office staff through real-time updates, keeping data organized in one central location. Additionally, technicians can add photo and video documentation to each job and project, creating a comprehensive site history to reduce customer disputes.

Downloading the BuildOps Mobile App

To download the BuildOps Mobile App:

  1. Open the App Store (iOS) or Google Play Store (Android).

  2. Search for BuildOps.

  3. Download and install the app.

Login

  1. Open the app and navigate to the Sign In screen.

  2. Enter your Username and Password (same as BuildOps web login).

  3. Click “Forgot password” if you need to reset your password, or contact Customer Support for assistance.

  4. The App Version number is located at the bottom right of the screen. If you experience issues, referencing this number will help Customer Support troubleshoot.

  5. Sign in with SSO will be available in a future update.

My Visits

After signing in, you will land on the My Visits screen, where you can view your scheduled visits for the day.

Key Features:

Bell Icon (upper right corner): Sends notifications for job updates or new assignments.

Technicians receive push notification in the following instances:

1. Visit Scheduled

2. Timesheet approved

3. Timesheet re-open

4. Request Revision

5. Visit Canceled

6. Visit Rescheduled

7. Technician added to a visit in progress

8. Technician removed from a visit in progress

  • Visit Tabs (Today, Past, Future): View visits scheduled within a 14-day work period.

  • Visit Details at a Glance:

    • Start Time: 11:00 AM

    • Job Number - Visit Number: 1010 - Visit #1

    • Property Name: Foley Construction

    • Address: 1330 W Fulton St Suite 200, Chicago, IL 60607

    • Issue Description: Cooler is leaking everywhere.

    • Job Type: T&M

    • Primary Technician: Only the primary technician can take action on the visit.

    • Visit Status Icon (upper right corner): Displays current visit status.

Technicians with permission can tap the + Icon (lower right corner) to create jobs, visits, project visits, and events.

Visit Status Icons

Each visit has a status icon that indicates its progress:

  • SCHEDULED: Visit assigned, no action taken yet.

  • TRAVELING: Time tracking for travel (required to generate timesheet).

  • WORKING: Time tracking for work on the job/visit.

  • BREAK: Paused for a break.

  • PAUSED: Temporarily stopped time tracking but planning to return later.

  • Non-Billable Event: Payroll-only time tracking (e.g., PTO, shop time).

  • Billable Event: Billable hours related to the job.

  • COMPLETED: Technician finished the visit and stopped time tracking.

  • CONVERTED (Read Only): Office has reviewed/edited the visit report.

Main Menu

Access the main menu by tapping the three-line icon (top left corner). The menu includes:

  • Technician & Username

  • Dispatch

  • Visits

  • Quotes

  • Timesheets

  • Projects

  • Knowledge Hub

  • Change Password

  • Sign Out

  • Help

  • Send Issue Report

  • App Version Number

Dispatch

The mobile dispatch screen provides a condensed version of the web dispatch board.

Key Features:

  • View Technician Schedules: Search by technician name or scroll through the list.

  • Adjust Date: Use the calendar icon or arrows to move forward or backward by one day.

  • Create Assignments: Tap the + Icon to create visits, jobs, project visits, billable events, or non-billable events. Fill in required fields before saving.

Quotes

The Quotes screen allows users to:

  • View created quotes

  • Create/edit draft quotes

  • Take notes during site walkthroughs (full quote building is available on the web)

Creating a Draft Quote:

  1. Tap the + icon (upper right corner).

  2. Search for a Property, add a General Scope, and tap SAVE.

  3. Add details such as Issue Description, Job Walk Notes, and Attachments (photos, etc.).

Timesheets

Upon entering the Timesheets screen, the oldest unsubmitted timesheet appears as a reminder.

Key Features:

  • Displays Job Number, Visit Number, and Customer Name.

  • Shows Start & End Time, Clock-in & Clock-out Time (may be auto-filled or editable based on settings).

  • Timestamp Section: Logs time spent on different tasks (e.g., travel, work).

  • Office Notes Section: Allows technicians to leave important messages.

  • Submitting a Timesheet:

    1. Review and confirm accuracy.

    2. Tap Save, then Submit.

    3. If changes are needed, edit the timesheet and resubmit before office approval.

  • View dismissed entries tied to rescheduled or canceled visits.

  • Tap the Clock icon to view Total Hours by Week.

Projects

Technicians can access ongoing projects from the Projects screen.

  • Search for projects or scroll through the list.

  • Tap a project to open and view:

    • Project Overview

    • Daily Reports

    • Purchase Orders

    • Files

Knowledge Hub

The Knowledge Hub serves as a video repository for company-related instructional content.

Key Features:

  • Technicians can record and upload videos (max. 30 seconds) for training and documentation.

  • Videos are searchable using tags and keywords.

  • Examples include troubleshooting guidance, equipment instructions, or location walkthroughs.

Additional Features

Change Password:

  • Tap Change Password to update your credentials.

Sign Out:

  • Tap Sign Out if multiple users share a device.

Help & Issue Reporting:

  • Tap “Help” to contact BuildOps Support via call or email.

  • Tap “Send Issue Report” to send a data snapshot to BuildOps Support for troubleshooting.

App Version Number:

  • Located in the Main Menu, reference this number when contacting Customer Support for assistance.

FAQs

Why am I seeing the error “You’re not authorized to access mobile application”

  • This message appears when your current user role does not have permission to access the mobile app. These permissions are managed by your office team.

  • Please reach out to your office admin who can manage your roles and permissions.
