Project Forecasting

The Project Portfolio provides an overview of all project budgets and forecasts, helping identify projects where the forecast and budget are not aligned.

To access the Project Portfolio:
Go to Projects → Forecasting


Project Portfolio Table – Key Definitions

Budget & Forecasting Metrics

  • % Complete Budget – Percentage of completion based on the current budget.
    (Actual Costs) / (Updated Budget)

  • Budget – The current budget, including Change Orders.

  • % Complete EAC (Estimate at Completion) – Percentage of project completion based on the current forecast.
    (Actual Costs) / (Estimate at Completion)

  • Estimate at Completion (EAC) – Expected total project cost at completion.

    • Actual Costs (past months) + Forecasts (current & future months)

    • Example: If today is March 15 and the project runs from Jan 1 - Apr 30, EAC = Actual Costs from Jan & Feb + Forecasts for Mar & Apr.

    • Note: Actual costs in the current month are excluded from this calculation.

  • Forecast Remaining – The difference between the Budget and EAC. A non-zero value indicates the project needs to be re-forecasted.

  • Project Data Sync – A nightly sync updates financial data. If changes are made after the last sync, a manual sync is required.

  • Last Synced – Displays the most recent sync date for the project.

To manually sync project data, use the 3-Dot Menu on the right side of the table.


Filtering the Forecasting Table

  • Budget Remaining – Shows projects where Budget ≠ EAC (requires attention).

  • Forecast Complete – Shows projects where Budget = EAC (fully aligned).

  • All Projects – Displays all projects.


Creating an Internal Change Order

To align Budget and Estimate at Completion:

  1. Select the checkbox next to the project.

  2. Click “+ Create Internal Change Order” (upper right corner).

  3. This will generate an Internal Change Order matching the difference between the Budget and EAC.

  4. Once saved, the Internal Change Order is approved.

To modify values, click the Change Order number hyperlinkEdit (upper right corner).

Note: Change Orders cannot be created for ‘Closed’ projects. Update the project status to proceed.


Project Forecasting Page

The Project Forecasting page provides a detailed view of a project’s budget and forecast, allowing for monthly forecasting by line item.

To access a Project Forecasting page, click on the Project Forecasting number hyperlink.


Project Forecasting Table – Key Definitions

  • Forecast Remaining – The difference between Budget & EAC. A non-zero value means re-forecasting is needed.

  • % Complete – Percentage of completion based on the budget. (Actual Costs) / (Updated Budget)

  • Budget – The current budget, including Change Orders.

  • Estimate at Completion (EAC) – Expected final cost, calculated as:
    (Actual Costs from past months) + Forecasts for current & future months

    • Note: Actual costs in the current month are not included in EAC calculations.

Monthly Forecasting Columns

  • Months – Displays all months from the project start to end date.

    • Past months are marked as Actual (Uneditable).

    • Current/Future months are marked as Forecast (Editable).

  • + Add Month – Adds a new month to the forecast.


Labor Forecasting

Labor entries can be tracked in either dollars or hours.
Formula: Labor Rate = (Labor Dollar Budget) / (Labor Hour Budget)
Note: This calculation only works if both dollar and hour budgets are entered.


Navigating the Forecasting Page

Use the navigation arrows or dropdown (top right corner) to switch between projects where forecasting remains incomplete.

Entering Forecasts

Forecasts should reflect expected spending per month per line item.

  1. Enter forecasted Dollars/Hours for each month.

  2. Once re-forecasting is complete, lock in the forecast with “Create Internal Change Order”.


Finalizing an Internal Change Order

After re-forecasting:

  1. Click “Create Internal Change Order”.

  2. This locks the new forecast and aligns it with the Budget & EAC.

  3. The Internal Change Order is automatically approved.

To make changes, click the Change Order number hyperlinkEdit (upper right corner).

Note: Projects in ‘Closed’ status cannot have Change Orders created. Update the status if needed.
