What's New:
A single vendor record can now include multiple Vendor Locations. Each location can have its own:
Billing address
Shipping address
One or more contacts
Purchase Orders, receipts, and bills can reference a specific Vendor Location. The selected location automatically supplies the applicable address information, helping you manage vendors with multiple branches, warehouses, or billing offices without creating duplicate vendor records.
Early Access
The feature is rolling out gradually, so it may not be available for every company yet. To request access, contact your Customer Success Manager (CSM). Once it is enabled for your company, no additional customer setting is required.
Why this matters
Previously, a vendor record could store only one billing address, one shipping address, and one contact. Companies that worked with vendors operating from multiple locations often created duplicate vendor records to represent each branch or office.
With Multiple Vendor Locations, you can keep related purchasing activity under one vendor record while maintaining location-specific addresses and contacts.
Where to find it
In the web application, go to:
Directory → Vendors → select a vendor → Locations
The Locations tab lists the vendor's locations and identifies the Default Location. Users with the existing Edit Vendor permission can create, edit, archive, and manage contacts for locations.
Vendor detail page → Locations tab
Add a Vendor Location
Open the vendor record and select the Locations tab.
Click Create.
In the side panel, choose whether to reuse the default billing and shipping addresses or enter different addresses for the new location.
Choose whether to reuse the default contact or add one or more contacts for the location.
Click Save.
Vendor detail page → Add New Location panel → Addresses
Vendor detail page → Add New Location panel → Contacts
To view a location and its contacts, click the location name in the Locations tab. Use the three-dot menu to edit or archive the location.
Use Vendor Locations on purchasing documents
Purchase Orders
Vendor Location is required when creating a web Purchase Order. It defaults to the vendor's Default Location, but you can select a different location.
The selected location determines:
The default Bill-To address
The Ship-To address when Ship-To is set to Vendor Location
The default contact for the selected location
Applicable tax attributes, when relevant
You can change the Vendor Location while the Purchase Order is editable. Changing it re-defaults the related address fields.
Create Purchase Order dialog when multiple Vendor Location are enabled
Purchase Order detail page with Vendor Locations enabled
Email Purchase Order PDFs
When you email a Purchase Order PDF, contacts associated with the selected Vendor Location are available for selection.
Receipts and bills
Receipts and bills created from a Purchase Order inherit the Bill-To, Ship-To, and Ship-From address references from that Purchase Order. Standalone bills can also use a specific Vendor Location.
Avalara companies
If your company uses Avalara, Procurement Settings includes a new Default Ship From Address option. This setting lets you choose whether the Ship-From address comes from the selected Vendor Location or the department.
Procurement Settings → Default Ship From Address, available for Avalara companies
Important notes and limitations
Mobile: Vendor Location selection is not available on mobile in this release. Mobile field orders use the vendor's Default Location.
Accounting integrations: Vendor Locations are not separately synced to NetSuite, Intacct, Sage, or QuickBooks in this release. Purchase Order addresses continue to export as they did previously.
Existing duplicate vendors: There is no self-service tool to convert duplicate vendor records into Vendor Locations. Consolidation is a manual, request-based process.
Review open documents first: Before archiving a duplicate vendor record, review its open Purchase Orders, receipts, and bills. Editable Purchase Orders may be updated with the correct vendor and location. Documents that are no longer editable may need to be voided and recreated. Historic finalized Purchase Orders do not need correction.
Permissions: No new permission is introduced. Creating or editing a Vendor Location or contact requires the existing Edit Vendor permission.
Default data: Existing vendor information is prepared as a Default Location during enablement. You do not need to manually create a location for every existing vendor.
Availability: This feature is in Early Access and is being enabled gradually. Contact your Customer Success Manager (CSM) to request access before expecting the Locations tab or Vendor Location field to appear.
