What's New:

A new built-in, filterable report gives you a real-time view of inventory on hand and its full transaction history directly in BuildOps, with no more pulling data into Dashboard reports or Excel.

Early Access

This feature is available to customers with Inventory module enabled. If you're interested, reach out to your Customer Success Manager (CSM) to get it enabled for your company. Once it's enabled, no additional setup is required.

Why this matters

Previously, inventory controllers had no single, real-time view of what's available across warehouses. Getting that picture meant pulling multiple Dashboard reports or exporting to Excel, with no consolidated, filterable view of the transaction audit trail tied back to source documents (Adjustments, Counts, Issues, Receipts, Transfers).

With the new Inventory Availability report, that information is now built in, filterable, and live.

Where to find it

In the web application, go to: Operations → Inventory → Item Availability

This opens a new report screen with two tabs: Items on Hand and Transactions.

Items on Hand

A live, filterable snapshot of everything you have on hand.

  • Filter by Item, Warehouse, Job & Project, and other key fields, using quick header filters or the standard grid filters.

  • Each row represents a single inventory cost layer, showing quantity on hand, unit cost, and total cost - useful for seeing which items are reserved for a particular job or project, or how FIFO/LIFO cost is split across different receipts.

You can apply multiple filters at once.

Transactions

Unlike Items on Hand, the Transactions tab shows all historical inventory operations recorded in the system, with the same quick header and grid filtering.

Multiple filters can be applied here too.

Each transaction is labeled with a friendly operation name such as Inventory Receipt Posted, Inventory Issue Posted, Warehouse Transfer To Posted, and Inventory Adjustment Posted so it's immediately clear what happened.

Important notes and limitations

  • Availability on draft documents: The report currently reflects only posted inventory document lines.

  • Exporting: Exports currently include only the rows on the current page, not the full filtered result set.

  • Transactions tab performance: Loading transactions may take a while. We recommend filtering the tab to limit results rather than loading everything, and avoiding sorting for now.

  • Linked records: Some referenced entities aren't yet clickable. We're working on making all referenced entities clickable hyperlinks.

  • Bulk actions: Initiating bulk inventory operations from the filtered report lines isn't available yet; this is a planned future enhancement.

  • Availability: This feature is in Early Access and available by request. Reach out to your Customer Success Manager (CSM) if you'd like it enabled.

Roles & Permissions

No new roles or permissions are introduced. The Inventory Availability report is available to all system users once the feature is enabled for your company.

Why is the Transactions tab slow to load?

We're working on improving performance. In the meantime, use filters to narrow results rather than loading all transactions, and avoid sorting on this tab.
