Default Invoice Email Contacts

Availability: This feature is currently available as a beta by request. Contact your Customer Success Manager (CSM) if you would like it enabled for your company.

Note: Multiple Bill To and the Contacts module must be enabled to use this feature.

What's New

You can now save default invoice email contacts for each Billing Recipient on a Customer record. Instead of searching through the customer's contact list every time you send an invoice, you can set up the appropriate Email To, CC, and BCC contacts once.

When you open Send Invoice, these fields are automatically filled using the defaults for the invoice's Billing Recipient. You can still review the contacts and add or remove recipients before sending.

This update includes:

  • Default email contacts per Billing Recipient: Assign one or more Contacts to Email To, CC, and BCC when creating or editing a Billing Recipient.

  • Prefilled recipients on Send Invoice: Billing Recipient defaults are used when there is no applicable Service Agreement invoice template.

  • New columns in the Billing Recipients table: View the saved Email To, CC, and BCC contacts without opening each Billing Recipient.

  • Service Agreement invoice template defaults: Email contact fields in the Edit Invoice Template window can also be prefilled from the Billing Recipient.

Why This Matters

Customers with several billing destinations may need different accounts payable contacts to receive their invoices. Selecting those contacts manually for every invoice adds repetitive work and increases the chance of choosing the wrong person.

Saving defaults for each Billing Recipient helps your team address invoices consistently, spend less time searching for contacts, and focus on reviewing the email before sending it.

How It Works

Step 1: Set Up Default Email Contacts

After the feature is enabled:

  1. Open the Customer Detail page.

  2. Go to the Billing Recipients tab.

  3. Create a Billing Recipient or edit an existing one.

  4. Select the Contacts for Email To, CC, and BCC.

  5. Save your changes.

Only Contacts with an email address are available for selection. Users with Edit Customer permission can configure these fields. No new permission is required.

Step 2: Review the Saved Contacts

The Billing Recipients table now includes Email To, CC, and BCC columns. Use these columns to review which contacts are configured for each billing destination.

Step 3: Review and Send the Invoice

Open Send Invoice for an invoice using that Billing Recipient. The saved contacts appear in Email To, CC, and BCC, unless a Service Agreement invoice template applies.

Review the recipients, make any changes needed for that invoice, and send it through your existing workflow.

Service Agreement Invoices

When a Service Agreement invoice template applies, the template takes precedence over the Billing Recipient defaults. The template determines which contacts are prefilled on Send Invoice.

Billing Recipient defaults are used when there is no applicable invoice template.

Where to Find It

  • Configure defaults: Customer Detail page → Billing Recipients → Create or Edit Billing Recipient.

  • View saved contacts: Customer Detail page → Billing Recipients table → Email To, CC, and BCC columns.

  • Use the defaults: Send Invoice → Email To, CC, and BCC fields.

  • Review Service Agreement template contacts: Service Agreement → Edit Invoice Template.

Limitations

  • Invoices only: This update does not set default email contacts for quotes, proposals, or purchase orders.

  • Setup is required: Enabling the feature does not automatically assign contacts. Configure the defaults for each Billing Recipient you want to use.

  • You remain in control: The feature prefills email contacts. It does not automatically send invoices, and you can still adjust recipients before sending.

Frequently Asked Questions

Can I assign more than one contact to a field?

Yes. You can assign one or more Contacts to Email To, CC, and BCC. Each selected Contact must have an email address.

What if the invoice needs to go to someone different?

You can add or remove recipients on Send Invoice before sending, just as you could previously.

Which defaults are used for a Service Agreement invoice?

If a Service Agreement invoice template applies, its email contacts take precedence. Billing Recipient defaults are used when there is no applicable template.
