Accessing the Project Planning Module
To navigate to the Project Planning module, click “Project Planning” in the left-hand menu within a Project.
The initial Gantt chart will populate with the Phases entered during the Project setup.
The gray bar represents the duration of the tasks assigned within the phase.
Navigating the Gantt Chart
Use the Zoom In/Out buttons at the top of the Gantt chart.
Use the Scroll Bar along the bottom of the right window pane.
Adjust Window Pane Sizes by dragging the divider column in the middle of the Gantt chart.
Adding Tasks
Once the Phases of the Project are established, the next step is to add tasks to populate the Gantt chart.
Steps to Add a Task
Select a Phase.
Enter a Task Name.
Click the “Add Task” button at the top of the Gantt chart window pane.
Once the task is added, click “Edit” to open the Task Card on the right side of your screen.

The Task Card is used to define:
General Information
Dependencies
Labor
Projected Costs
General Information
Define the following fields:
Phase
Name
Start Date
End Date
Duration
Progress (This is a manual field)
Task Dependencies
Dependencies define relationships between tasks.
Types of Dependencies
Dependency Type | Description |
Finish-Start | The preceding task must end before the succeeding task can begin. |
Finish-Finish | The preceding task must end before the succeeding task can end. |
Start-Finish | The preceding task must start before the succeeding task can end. |
Start-Start | The preceding task must start before the succeeding task can begin. |
Adding Dependencies
Tasks in this section are not limited by phase, as phases can run concurrently.
Input a lag time (offset duration) between tasks.
Drag the dependency node on the Gantt chart to another task node to set a dependency.
Defining Labor
Select Labor Type.
Enter the Quantity of Hours needed to complete the task.
Multiple Labor Types can be assigned to a task.
Planned Labor hours will auto-populate in the Scheduling Tab.
Defining Costs
Assign Department & Cost Code.
Cost codes will prefill when creating visits in the Scheduling Tab.
In future updates, cost information will prefill technician timesheets and be reportable in the Dashboard.
Adding Notes to a Task
Add task-specific notes that are only visible to web users.
Technicians will NOT be able to see these notes on mobile.
Exporting the Gantt Chart
Click “Export” (top right corner) to save the current Gantt chart as a record.
Use this feature to capture a historical snapshot of the project plan.
Project Scheduling
Getting Started
In the Scheduling Tab within Project Planning, tasks with remaining planned hours will appear in the “Unassigned Tasks” table.
This table displays:
Start & End Dates for each task.
Planned Hours vs. Scheduled Hours.
As visits are scheduled, the Scheduled Hours column will update.
Once the Scheduled Hours = Planned Hours, the task is removed from the list.
Scheduling Visits
There are two (2) ways to schedule a Project Visit:
Option 1: Using the “Add Project Visit” Button
Click "Add Project Visit" to create a standard Project Visit.
Option 2: Using the “+” Icon in the Unassigned Tasks Table
Click the “+” icon in the Unassigned Tasks table.
The task details (start/end dates & cost code) will automatically prefill.
⚠️ Note: Users can schedule Project Visits spanning multiple days.
Tracking Project Visits
The “Scheduled Project Visits” section displays live visit statuses.
Project Visits are also visible on the Dispatch Board.
Even after a task is removed from the Unassigned Tasks table, additional visits can still be scheduled for that task.

1. Do I need to enter cost information in my scheduled tasks?
No, but entering cost information can provide useful metrics.
In the near future, cost data will prefill technician timesheets and be reportable in the Dashboard.
