OpsAI: Visit Summary

Visit Summary helps technicians document service work faster by speaking or typing from the BuildOps mobile app, then reviewing a polished summary before saving it to the visit record. It is available from the visit completion flow in the mobile app, where technicians can add, review, and edit summary entries for a visit.

Note: Visit Summary feature is currently in Beta.

It will be generally available for all Customers on July 2026 with mobile release version 3.78.0

What’s New

With Visit Summary, technicians can:

  • Create visit notes by voice using the green OpsAI microphone in the Visit Summary composer.

  • Type visit notes directly if they prefer not to use voice input.

  • Use OpsAI polish to clean up grammar, remove filler words, and organize the note before saving it.

  • Review the result before sending it to the visit record.

  • Edit an existing entry later from the Visit Summary list.

How It Works

After completing a visit, the technician opens the visit completion screen, selects Visit Summary, and starts a new entry.

From there, they can either:

  • Tap the green OpsAI microphone and speak naturally about the work they performed.

  • Type their notes directly into the entry field.

Once the note is entered, the technician can optionally use OpsAI polish to improve readability before sending it.

When the entry is saved, it appears in the Visit Summary list with the technician’s name and timestamp.

Voice input options

Technicians can use either the green OpsAI microphone or their device’s keyboard microphone to transcribe notes.

The green OpsAI microphone is the recommended option because it is always visible in the Visit Summary composer, including on Android devices where the native keyboard microphone may be harder to find.

OpsAI polish behavior

OpsAI polish improves the wording of what the technician already entered, but it does not add parts, assets, or actions that were not originally mentioned.

If the technician does not like the polished version, they can undo it and return to the original text.

Multi-technician visits

If more than one technician is assigned to the same visit, each technician can add their own Visit Summary entry from their own device.

Each entry is attributed to the person who created it and includes a timestamp, making it easier to understand who documented what.

Offline support

Visit Summary supports voice capture and entry creation even when there is limited or no cellular connection.

If a technician is offline, the entry is saved locally and syncs automatically once connectivity is restored.


Frequently Asked Questions

Q: What's the difference between the green OpsAI microphone and the microphone on my keyboard?
Both transcribe your speech into text in the Visit Summary composer. The green OpsAI microphone is BuildOps' own intentional, always-visible button — it's especially important for Android users who may not easily find the native keyboard microphone. You can use either one.

Q: Does OpsAI add information I didn't say?
No. OpsAI polish only cleans up what you said — it corrects grammar, removes filler words, and structures the text. It never adds assets, parts, or actions you didn't mention.

Q: Can I undo the polish if I don't like the result?
Yes — tap undo to revert to your original transcription or typed text.

Q: Does Visit Summary work without cell signal?
Yes. Voice capture and entry creation work offline. The record is saved locally on your device and syncs to BuildOps automatically once your connection is restored.

Q: Can I edit a visit entry after I send it?
Yes — tap the entry in the Visit Summary list to open it in an inline edit view. Tap anywhere to edit, then tap the checkmark to save.

Q: Can multiple technicians on the same visit each add their own entries?
Yes. Every technician assigned to the visit can open Visit Summary and add their own entries from their own device. Each entry shows who wrote it and when.

Q: Will OpsAI automatically generate a visit entry when I finish a visit?
No — Visit Summary is always tech-initiated. The app never auto-generates a visit entry. The technician must open Visit Summary and add an entry.

Q: Will entry titles be generated automatically?
A: Not in this Beta. AI title generation is fully built but temporarily disabled pending a backend database migration. It will be enabled in an upcoming fast-follow release.

Q: How do we get this feature enabled?
Visit Summary is currently in closed beta. Contact your BuildOps Implementation Manager or Customer Success Manager to request the feature flag be enabled on your account.
