Steps to Capture a Customer Signature

  1. Open a Visit: Tap to open a Visit.

  2. Navigate to the Technician Report Section: Scroll to the Technician Report section of the Visit.

  3. Open the Customer Signature Section: Tap to open the “Customer Signature” section.

    • Note: The following sections will automatically populate: Job Description, Visit Description, Visit Summary, Assets Worked On, Inventory Items Used, Purchased Items, Submitted Hours, and Before & After photos.

    • Sections of the Visit Report can be toggled on/off in BuildOps Web by navigating to Mobile Settings > ‘Visit Report’ to make any changes.

  4. Capture Customer’s Signature: The Property Representative can type their name and sign with their finger at the bottom of the screen.

    • If a Customer Signature is not required, see Step 7.

  5. Save the Signature: Tap “SAVE” (upper right corner). Once saved, the icon will change to an airplane.

  6. Send the Signed Visit Report: Tap the Airplane icon to email the signed Visit Report.

    • Note: The Report may need a few moments to upload before proceeding to the next step.

  7. If Customer Signature is Not Required:

    • Tap ‘No Customer Signature’, and you will be directed back to the Technician Report section.

    • You can re-select the ‘Customer Signature’ section and continue to send the report without a signature by tapping the Airplane icon.

The "airplane" icon feature for sending service reports in BuildOps is only available when a visit remains in the 'working' status.

If a visit is marked as complete, this icon and functionality will no longer be accessible. To ensure smooth processing, verify the visit's status is "working" before attempting to generate or send reports.


Sending the Visit Report

  1. Enter Recipient’s Email:

    • Tap the email “To:” field.

    • If an email address is assigned to the Property Representative in BuildOps, it will display for selection.

    • Tap to select an email address or type in a different one.

    • Tap “X” to remove an email address.

  2. Update the Subject Field: The default subject is “Visit Report.” Tap the Subject field to modify it if needed.

  3. Preview the Visit Report: Tap the Visit Report attachment to preview the PDF.

  4. Attach Additional Files: Tap the “+” symbol to add extra attachments.

  5. Enter a Message: Type a message in the email body if necessary.

  6. Send the Report: Tap “SEND”.

  • Once sent, you will be directed back to the My Visits screen and see the message “Report sent successfully.”


FAQs

Q: Can I send a Visit Report after the Visit is marked as “Finished”?

Yes. A Visit Report can be sent at any time during the day, as long as the required Technician Report sections are completed.

Q: What should I do if the airplane icon is missing?

  • First, confirm that the Visit is still marked as “Working.” Completed Visits will not display the airplane icon.

  • If the Visit status is incorrect, contact your administrator to adjust it.
