How to Resolve Common Time Tracking and Timesheet Issues in BuildOps
Time tracking and timesheet management are critical features in BuildOps, but users may encounter various issues. This guide provides solutions to common problems and best practices to ensure smooth operations.
Common Issues and Their Solutions
1. Prompt for 'Project Visit Timesheet Required'
If you encounter this prompt while clocking out or completing the Daily Report, it is because timesheet submission is set as required under mobile settings. This setting can interfere with auto time tracking by forcing technicians to submit time prematurely, leading to incomplete entries. To resolve this, disable the requirement for timesheet submission in the mobile settings.
2. Duplicate Timesheets
Duplicate timesheets occur when time is logged using both the time tracking feature and the daily report timesheet. To prevent this, use only one method for logging time per project—either time tracking or the daily report timesheet, but not both.
3. Unable to Clock Out for a Job or Visit
You cannot clock out if you did not clock in on the day of the visit. Once a visit becomes overdue without any actions taken, further actions like clocking in or out cannot be performed via the mobile app. In such cases, your office can manually add and approve your time through the web portal.
4. Pop-Up Prompt to Update or Keep Submitted Timesheet
This behavior is due to a recent system update. If a technician submits a timesheet before finishing a visit, they will be prompted to either update the time or keep the submitted timesheet. This change ensures accurate time tracking and allows technicians to make necessary adjustments.
5. Hours Missing in Daily Report or Time Tracking
If hours do not appear after being saved, it is likely because the "Generate Individual Timesheet" step was not completed. After saving the entry, ensure you click the "Generate Individual Timesheet" option to update the reports correctly.
6. Unable to End Time for a Visit
If a visit has been moved to Converted status, technicians cannot end time for that visit via the mobile app. To resolve this, reopen the visit, allow the technician to end their time, and then proceed with timesheet sign-off.
7. Missing Hours with Auto Time Tracking
With Auto Time Tracking enabled, time is automatically submitted to the timesheet after the technician clocks out and completes the visit. If a timesheet is approved before the technician clocks out, additional time will not be recorded. To correct this:
Open the affected timesheet.
Click REOPEN.
Add the correct hour type.
Enter the total hours.
Ensure all hours are logged before approving timesheets to prevent this issue.
Best Practices
Always verify that all hours are logged before approving timesheets.
Use consistent methods for logging time to avoid duplicates.
Regularly review system settings to ensure they align with your workflow.
By following these guidelines and solutions, you can effectively manage time tracking and timesheets in BuildOps, minimizing disruptions and ensuring accurate records.
