Time Tracking 2.0

Guide to using Time Tracking 2.0 on the web and mobile, including permissions, labor settings, time-entry review and management, everyday workflows, and answers to common questions.

Web Overview

Time Tracking 2.0 is where you review, edit, approve, and lock employee time on the web.

You'll find it under Accounting → Time Tracking.

Time now lives as individual entries instead of one continuous timesheet — each row represents a single period of time, so it's easy to see exactly what was worked, when, and how it was costed.

What's new at a glance

Permissions

Time Tracking 2.0 uses role-based permissions to control who can view, create, edit, approve, and lock time — separately for web and mobile users. An admin manages these under Settings → Roles.

Labor Settings

Labor Settings let an admin configure how time tracking behaves company-wide. You'll find these under Settings > Labor

Rates and Types

Labor tab

Labor Rate Groups — named groupings used to organize rates (e.g. Standard, Construction, Office). Groups can be archived without being deleted.

Labor Types — named classifications of labor (e.g. Apprentice, Journeyman, Foreman, OJT). Types can be archived without being deleted.

Billing tab

Billing — a table of billing rates per Labor Rate Group, broken out by hour type (RT, DT, OT).

Billing Hour Types

Setting

What it does

Default Billing Product for Labor Invoice Items

Sets the default billing product applied to new labor invoice items. Only affects Billing Hour Types created going forward.

Billing Hour Types list

The named hour types available for billing (e.g. Regular Time (RT), Double Time (DT), Overtime (OT), Travel Time (TT)) — each with an abbreviation. New types can be added.

Payroll tab

Rate Groups & Types

  • Payroll Hour Rates — a table of payroll rates per Labor Rate Group, broken out by hour type (DT, RT, OT, PTO, TT). Each group row expands to show its specific rates.

Setting

What it does

Map Payroll Hours to Billing Hours

When enabled, Payroll Hour Types can be mapped to Billing Hour Types. Billing hours are then automatically filled in when labor line items are generated on job reports.

Payroll Hour Types list

Each payroll hour type (e.g. Double Time, Regular Time, Overtime, Paid Time Off, Holiday, Travel Time) has an abbreviation, an optional mapped Billing Hour Type, and an Autofill Time toggle. Types can be archived.

  • Payroll Cost Codes & Types — a table of payroll cost code rates per Labor Rate Group (Office, Construction, Standard, etc.), broken out by hour type (DT, RT, OT, PTO, TT). Each group row expands to show detail.

Labor Rate Modifiers

Labor rate modifiers are additional adjustments (a raise, a burden rate, a per-project or per-employee premium) layered on top of base rates.

Field

What it defines

Name

Label for the modifier (e.g. "2026 Annual Raise," "Company Burden").

Hour Types

Which hour types the modifier applies to (PTO, DT, OT, TT, RT — one or more).

Scope

Who the modifier applies to: a Department, specific Employees, or All Employees.

Scope value

The specific department, employee(s), or confirmation of "All Employees" the modifier targets.

Amount

The adjustment, expressed as either a percentage or a flat dollar amount.

Time Tracking

General

Setting

What it does

Office Timezone

Sets the default timezone used for calculating and displaying time entries across the system.

Week Start Day

Defines which day begins the work week for time card calculations and weekly summaries.

Auto-Generate Time Entries

This setting is enabled by default.

  • When enabled, actions such as Travel, Work, Break, and Finish automatically create time entries.

  • When disabled, these actions continue to support dispatch status, workflow requirements, and visit closeout, but they do not create time entries. Technicians must use +Add Time to record time manually.

Require Start and End Times on Time Entries

This setting is enabled by default.

Controls whether eligible time entries require specific start and end times or can be recorded as a total duration.

When this setting is enabled, technicians enter start and end times.

When this setting is disabled, technicians can enter a duration instead, such as 5 hours. This applies to time entries for:

  • Service visits

  • Project visits

  • Billable events

  • Non-billable events

General Time and project time without a visit always require start and end times.

Track General Time

Allow technicians to log payroll hours not tied to a visit (mobile only). Does not generate billable hours.

Split Overnight Time Entries at Midnight

Automatically splits time entries that cross midnight into separate entries for each calendar date.

Require Meal Break Attestation

Require technicians to confirm they were offered and able to take their meal break before submitting their time card.

Require Rest Break Attestation

Require technicians to confirm they were offered and able to take their rest break before submitting their time card.

Require Time Card Attestation

Require technicians to review and sign off on their time card entries before submission. Includes a customizable attestation statement (e.g. confirming hours are accurate and any injuries were reported).

Deactivated Employees

Include timesheets from employees who are no longer active. Useful for reviewing past hours or maintaining complete records.

Timesheet Export

Select the default export template for timesheet data. It pulls the report from the Dashboard.

Bulk Overtime Allocation (within General)

Setting

What it does

Daily Allocation

Enables bulk allocation per day — hours that exceed the threshold are moved to the selected payroll hour type.

Weekly Allocation

Enables bulk allocation per week — hours that exceed the threshold are moved to the selected payroll hour type.

Weekly Threshold

Hours that exceed this threshold will be moved during bulk allocation.

Overtime Payroll Hour Type

Selects where excess hours are moved during bulk allocation.

Using Time Tracking on the Web

Navigating the Time Tracking module

Open Accounting → Time Tracking to see the module.

  • Use the Day / Week toggle to set your time range.

  • Employees in the current range are listed on the left.

  • Entries are grouped by status (for example, pending or disputed) based on the entries in your selected range.

  • Each row shows the associated event (if any), the time logged, the entry type, when it occurred, and the department and cost codes.

Reviewing and editing entries

You can edit an entry once a technician has submitted it. Entries that haven't been submitted yet appear read-only until they are.

  1. Click into any entry to review its details and make edits.

  2. Submitted entries can be adjusted directly here; unsubmitted entries stay read-only until the technician or a web user submits them.

Changing status

You can set an entry's status to Submitted, Approved, Disputed, or Dismissed.

Note: Changing the status at the visit level updates every entry under that visit at once — a fast way to approve or dispute a group of entries together.

Adding a time entry

You can create time directly from the web.

  1. Click Add Entry to open the flyout.

  2. Choose the event type the entry should be saved under: Visit, Project, a billable or non-billable event, or a standalone entry.

  3. Fill in the details — for a project entry, choose the project, the type of time, and the start and end times.

  4. Save. The entry appears in the view.

Allocating overtime and approving

These per-employee actions speed up weekly review:

  • Allocate Overtime — applies your overtime settings (the threshold and the payroll hour type that should receive the additional time) to that employee's time.

  • Approve Week — marks everything for that employee as approved, so you don't have to approve visit by visit.

Bulk actions

The Actions menu at the top applies to every employee currently visible — not just one person. Filter the view first to control exactly who's affected.

Approves entries for all visible employees. You'll be asked to confirm before it runs.

Allocate Overtime

Applies overtime allocation across all visible employees.

Lock Entries

Locks all visible data so none of it can be edited.

Filtering, views, and density

The view defaults to All Employees, and offers detailed filtering and saved layouts.

  • Filters — filter by a specific department, crew, or set of technicians. Use Save as New Filter to keep a filter available alongside All Employees.

  • Views — beyond the default Standard View, save presets that capture columns, filters, and density together. Saved views appear beneath Standard View.

  • Column filters — filter any column with an operator, for example set Type contains "work" to show only work-type time.

  • Columns — choose which columns to show or hide.

  • Density — control the spacing between entries (Standard vs. Compact).

Locking time

Locking protects data integrity, ensuring costing can't be changed after payroll has been generated.

  • Use Lock Day/Week to lock an individual employee's timesheet, or Lock Entries from the Actions menu to lock all visible data across all visible technicians.

  • A day can't be locked if one or more entries are still open.

  • A locked timesheet displays a notice that it can no longer be edited, and stays locked unless it's unlocked through that flow.

  • No new time can be created within a locked day or week.

Exporting

Use the Export option at the top to choose a format and export your time data.

  • Manual Export and ADP Export are both available, and both are delivered as CSV files.

  • ADP Export is formatted to be imported directly into ADP.

Frequently Asked Questions (Web)

Q: Why can't I edit a particular entry?

It hasn't been submitted yet. Entries become editable from the web once the technician (or web user) submits them.

Q: What happens if I edit a submitted entry?

The entry returns to an unsubmitted state and will need to be resubmitted.

Q: Does changing a visit's approval status change its entries?

Yes. Setting a status at the visit level cascades to every entry under that visit.

Q: Do bulk actions apply to everyone?

Bulk actions in the Actions menu apply to all employees currently visible in your view. Filter first to narrow who's affected.

Q: Can a locked timesheet be edited?

No — locking prevents edits to protect costing. It can only be changed by unlocking it through the unlock flow.

Q: Who can see notes and edits on a time entry?

Notes and audit log entries are visible to payroll reviewers and managers on the web side.

Q: What export formats are available?

Manual Export and ADP Export, both delivered as CSV files. ADP Export is formatted for direct import into ADP.

Q: When does a timesheet appear in Time Tracking?

In Time Tracking 2.0, assigning a technician to a visit does not create a time-entry row by itself. A time entry appears in Accounting → Time Tracking after the technician records time in the BuildOps mobile app.

Depending on your company’s settings and the type of work, time may be recorded when the technician:

  • Uses Clock In or Add Time Entry from the Time Card.

  • Selects a time-tracking action such as Travel, Work, Break, or Finish.

  • Records time against a project, event, or visit.

The entry can appear on the web before the technician submits it. Unsubmitted entries may be read-only until they are submitted. If the technician has not recorded any time, there may be no entry to display for that visit or date.


Mobile Overview

Time Tracking 2.0 changes how you track, review, and submit your time from the BuildOps mobile app. The page has been renamed from Time Sheets to Time Tracking, and is now organized into two tabs: Time Card and Time Sheets.

What's new at a glance

  • Two ways to track time from the Time Card tab: Clock In (live tracking) and Add Time Entry (manual).

  • Track time against five contexts: Service Visit, Project Visit, a project without a scheduled visit, General Time, and billable or non-billable events.

  • Project time no longer requires a dispatcher-scheduled visit — you can log time directly against a project.

  • All time entries, regardless of how they were tracked, roll up into the Time Sheets tab.

  • Weekly and daily summaries aligned to your pay period.

  • Meal breaks, notes, attachments, and audit logs on every entry.

  • Submit time from within a visit or from the Time Sheets tab.


Navigating Time Tracking

When you open the Time Tracking page, you'll see two tabs:

  • Time Card — where you start a new time entry (clock in live or add manually).

  • Time Sheets — where all your submitted and unsubmitted entries live, organized by date with weekly and daily summaries.

The Time Sheets view shows entries across past and future dates. At the top you'll see a weekly summary aligned to your pay period, and below that a daily summary. Each individual entry is listed below the summary with its start/end times and how hours were allocated (regular time, overtime, double time).


Tracking Time on a Service Visit

When you're clocked into a service visit, the visit page includes a dedicated Time Sheets view showing all time tracked against that visit.

  1. At the top of the visit time sheet, a summary card shows total time tracked against the visit. Below it, each individual time entry appears as its own card.

  2. While clocked in, you'll see an open-ended entry tracking your active work time.

  3. To take a break, tap Start Break and select the break type (e.g., Meal Break). This closes your active work entry and opens a new break entry automatically.

  4. When you're done, tap Finish Visit and then Submit Time.

Important: Submitting from the service visit view only submits time associated with that visit. Any other time tracked outside the visit (e.g., General Time) must be submitted separately from the Time Tracking page.

Notes and edits

  • You can click into any time entry to add notes or edit times.

  • An audit log is available on each entry — both you and your web-side managers can see all changes.

  • Editing a submitted entry will move it back to an unsubmitted state — you'll need to resubmit.

Tracking time on a service visit with Service Crew Time Tracking

If your company has Service Crew Time Tracking enabled, the Primary Tech on a crew can track time for the whole crew at once, rather than each technician clocking in separately.


Tracking time on a Project Visit

Project visits work similarly to service visits, with a few differences worth noting.

  1. Open the project visit and tap View Time Sheet to see all time tracked against it.

  2. The summary card at the top shows total time, with individual entries listed below.

  3. You can take a meal break mid-visit using Start Meal Break, which closes your work entry and starts a new break entry. Tap Stop to clock back into work.

  4. Once done, clock out and review your entries. You can edit times before submitting — for example, adjusting a start time if you arrived earlier than when you clocked in.

  5. Tap Submit Time from the visit page and attest to your break.

Editing time allocation

  • Depending on your settings, you may be able to adjust how hours are allocated (e.g., regular time vs. overtime) directly from the entry.

  • This setting can be enabled or disabled by your admin.

From the Time Sheets view: After submitting visit time, you can also go to Time Tracking → Time Sheets to see all entries for the day across visits, breaks, and general time. Any remaining unsubmitted time can be submitted in one tap from there.


Tracking time on a Project Without a Visit

You can track time directly against a project even when no project visit has been scheduled.

Before you start

Your company admin must enable Track Time on Projects Without a Visit under Settings → Labor → Time Tracking → Projects. This setting controls whether project time without a visit is available in the mobile app.

Your admin can also control whether Phase, Department, and Cost Code fields are available or required for project time entries.

Track project time from the Time Card

  1. Open Time Tracking in the BuildOps mobile app.

  2. From the Time Card tab, choose the option to add or start project time.

  3. Select the project you’re working on. You do not need to select a project visit.

  4. To track time live, tap Clock In and tap Clock Out when you’re finished.

  5. To enter time manually, tap Add Time Entry, enter the date and start and end times, and save the entry.

  6. Review the entry in the Time Sheets tab.

  7. Submit the entry from Time Sheets when you’re ready.

Project time without a visit appears with the project in the Time Sheets view and is included in the daily and weekly totals. This option is separate from General Time; enabling or disabling one does not control the other.


Tracking time on billable and non-billable events

Time Tracking 2.0 also supports time entries connected to events. Events can be tracked from the event itself or entered manually from the event’s time sheet.

Billable events

Use a Billable Event for job-related work that is performed away from the job site, such as preparing materials at the shop or picking up materials for an upcoming visit. Billable event time remains associated with the event and is marked as billable.

To track time on a billable event:

  1. Open the billable event in the BuildOps mobile app.

  2. Confirm the required event information is complete.

  3. Tap Start or Clock In to begin tracking work.

  4. Tap Finish or Clock Out when you’re done.

  5. Open View Timesheet to review the entry.

  6. Submit the entry using the event’s time sheet or from the Time Sheets tab.

Non-billable events

Use a Non-Billable Event for standalone, payroll-only time such as training, internal meetings, or time off. Non-billable event time is not billed to a customer.

To track time on a non-billable event:

  1. Open the non-billable event in the BuildOps mobile app.

  2. Enter or confirm the event title.

  3. Tap Start to begin tracking work.

  4. Tap Finish when you’re done. BuildOps creates the time entry for the event.

  5. Open View Timesheet to review the entry.

  6. Submit the entry using the event’s time sheet or from the Time Sheets tab.


Tracking General time

General Time is used for any time that isn't tied to a specific service or project visit — such as meetings, training, idle time, or other non-billable work.

Clock In (live)

  • Tap Clock In from the Time Card tab.

  • Depending on your settings, you may be able to edit entry details before confirming.

  • While clocked in, you can add notes or start a meal break.

  • Starting a meal break closes your active work entry and opens a new break entry.

  • When done, clock out — your entries will appear as unsubmitted in Time Sheets.

Add Time Entry (manual)

  • Tap Add Time Entry from the Time Card tab.

  • Enter the start and end time for the work period (e.g., a meeting from 8:10 AM–9:10 AM).

  • Review the hour allocation and save.

  • The entry will appear in Time Sheets as unsubmitted.

You don't need to submit entries one by one. From the Time Sheets tab, tap Submit to submit all unsubmitted time at once.


Time entry details & editing

Every time entry — regardless of how it was tracked — supports the following:

Submitting time

Time can be submitted from two places:

  • From within a visit — submits only that visit's time.

  • From the Time Sheets tab — submits all unsubmitted time across visits and general time in one action.

When submitting, you'll be asked to attest that you took a meal break and confirm your hours. Once submitted, entries are locked unless edited — editing moves them back to unsubmitted and requires resubmission.

Frequently Asked Questions (Mobile)

What happens if I edit a submitted entry?

The entry returns to an unsubmitted state. You'll need to resubmit it from the Time Sheets tab.

Can I add a meal break after the fact?

Yes. From the Time Sheets page, you can add a meal break at the day level without associating it to a specific visit.

Do I need a dispatcher to schedule a project visit?

No. With Time Tracking 2.0, you can track time against a project directly from the Time Card tab — no dispatcher scheduling required.

Where do I submit time that wasn't tied to a visit?

From Time Tracking → Time Sheets, tap Submit to submit all unsubmitted entries at once.

Who can see my notes and edits?

Notes and audit log entries are visible to payroll reviewers and managers on the web side of BuildOps.

Why can't I edit a particular entry?

It hasn't been submitted yet, or it's already locked. Entries become editable once submitted, and stay editable until they're locked by a web user.
