How To Add Daily Reports in Mobile

You can add Projects in the Mobile App in two ways:

  1. From the Project Visit (if a Project Visit has been assigned)

  2. From the Mobile Main Menu → Projects.

To access Daily Reports from a Project Visit, tap on the Project Visit to open it. To add a new report, tap the + symbol next to "Add Daily Report."

To access Daily Reports from a Project, tap the three lines on the top left corner of the screen to open the Main Menu → tap Projects. Tap on the Project to open it.

Tap "Daily Reports." To add a new Daily Report, tap “ADD DAILY REPORT” at the bottom of the screen. To open an existing Daily Report, tap the three dots on the right side of the Daily Report # and tap "Edit General Information."


How To Complete A Daily Report In Mobile

To fill out a Daily Report, create a new report or tap to open an existing report. A Daily Report consists of six sections:

  • Note

  • Forms

  • Crew Time

  • Equipment

  • Material

  • Subcontractor

You can fill out the sections of the Daily Report at any point throughout the day. The Daily Report will automatically update to the cloud as you make changes so the office is always up to date.


Note

To expand the Notes section, tap the carrot on the right side of Note. The Notes section has six components:

  • Work Completed

  • Delays / Issues

  • Out of Scope Work

  • Safety Concerns

  • Other Observations

  • Internal Notes

Before adding information to the different Notes sections, you will see “0/6 Done” next to the "Note" header. Each section will have a label that says "Empty" if no information has been added.

Add information to the sections by tapping the + icon on the right side of the section line. Add text by typing into the Notes section, or press the microphone button on your keyboard to speak. Your spoken words will be transcribed into text.

Add Photos & Videos if applicable. You must give the BuildOps app permission to access Photos & Camera in your device settings. Tap “SAVE.” Once you have added information to a section, tap to toggle on "Mark as Done" (upper right corner). The status label will change the section to "Done."


Forms

To add a Form, tap “Forms.” Tap "Add +." Type in the "Add Form" field and select your Form.

NOTE: In order for Forms to be added in Project Visits, the Form Type needs to be set as "Project Form." Fill out the form and tap “SUBMIT” (upper right corner).


Crew Time

From a Project Daily Report (no Project Visit) If there is NO Project Visit in the My Visits screen, access timesheets by tapping "Crew Time" on the Project Daily Report.

NOTE: If a Project Visit has been dispatched to technicians, fill out the time in the Project Visit, and not in the Daily Report.

Tap "Add +." Submit a timesheet for yourself and any crew members you are responsible for by completing the five steps:

  1. Select Workers - Tap “+ SELECT WORKERS,” check the box next to the names you wish to add, then tap “SELECT.” Tap “NEXT.”

  2. Fill Time Card - Add a Start Time, Lunch Start, Lunch End, and End Time. The gray fields are editable.

  3. Select Phases / Cost Codes - Tap “+ ADD PHASE / COST CODE.” Select the correct option(s) and tap “ADD.” Tap “NEXT.”

  4. Enter Hours - Add the Payroll Hours to distribute within each Payroll Hour Type (i.e., RT, OT, DT). Tap “NEXT.”

  5. Review Entries - Verify the entry and tap “COMPLETE.” Tap “DONE.”

IMPORTANT: If a user adds their time via the Project Visit, it is unnecessary to add it to the Daily Report. This will create a duplicated timesheet.


Equipment & Material

Equipment: Use this section to document any work performed on a piece of equipment. Add the equipment name, description, time spent, and any additional comments. Tap “SAVE.”

Material: Use this section to document any materials used onsite. Search for an item, update the description and quantity used, then tap “SAVE.”

NOTE: Both the Equipment and Materials sections are NOT related to inventory, purchase orders, or field orders.


Subcontractor

Use this section to record any subcontractors that worked onsite. Add the subcontractor company name and the number of workers onsite.


Customer Signature

If you need to capture a Customer Signature, tap the + icon at the bottom right of the Daily Report.


Daily Reports - BuildOps Web

On the Project Page, click "Field Reports" to access Project Daily Reports.

To view a Daily Report, click the Daily Report Number hyperlink in the “Number” column of the Daily Reports tab.

To preview as a PDF, click “PREVIEW” where you can print or download the PDF version.

To edit a Daily Report, click the "EDIT" button.

To email a Daily Report, click the "EMAIL" button.

To add a Daily Report to the Project’s files, click "ADD TO FILES."

To create a new Daily Report, click the "GENERATE DAILY REPORT" button on the Project page.

Complete the same steps/fields as mentioned in the mobile workflow.


FAQ

  1. Can I duplicate Daily Reports?

    • Yes. Before creating a new Daily Report, find an existing one, click the three dots next to it, and click "Duplicate."

  2. Can I add photos to my Daily Report?

    • Yes, photos can be added to the Notes section.

  3. Why can't the technician enter daily report on a project?

    • When working on a project, the technician needs to submit a daily report. There are circumstances when tech can't see that option on the project.

      • In the project - check the dates of the project and the phase. If today's date is not within the project or phase date range, the tech will not be able to generate the daily report.

      • Check if the tech's app is updated.

      • Check if the tech has access to projects on their mobile.
